Department: MCC Office of the Dean
Salary/Grade: EXS/6

Target hiring range for this position will be between $56,780-$72,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Job Summary

Founded in 1909, the Robert R. McCormick School of Engineering and Applied Science thrives at the intersection of global challenges and the knowledge needed to solve them. The School is growing and seeks a Sr. Project Coordinator to assist with a portfolio of strategic initiatives.

The Sr. Project Coordinator supports the execution of projects, reporting, and operations in service of McCormick School of Engineering strategic priorities. Reporting to the Senior Director of Strategic Initiatives, this role assists with the day-to-day management of and reporting on a portfolio of key initiatives; assists with operations, events, scheduling, and communications in support of the portfolio; and helps manage delivery and risk across a broad set of projects.

Job Responsibilities:

  • Coordinates delivery, communications, and supporting aspects of a program portfolio in support of McCormick strategy
  • Manages day to day operations
  • Maintains associated analysis & reports
  • Troubleshoots problems; obtains additional information or provides instruction & guidance; corrects or escalates
  • Helps maintain partnerships with external resources
  • Works with Sr Director to manage escalations, communication; may manage some projects independently
  • Coordinates programming, workshops, meetings, as driven by project needs
  • Leads program/project updates and improvements
  • Ensures compliance with all necessary organizations
  • Prepares documentation as required
  • Administers & maintains existing strategic plans
  • Supervises 1-2 work study students &/or provides work direction
  • Perform other duties as assigned

Specific Responsibilities:

Administration

  • Oversees & ensures that day-to-day operations are appropriately managed, efficient and effective.
  • Develops, maintains & reports on quantitative and qualitative performance measures.
  • Budgets & Financial
  • Oversees accurate, efficient and compliant workflow of all transactional processes across areas/units.
  • Creates & oversees finances, budget, associated analysis & reports. Works with finance to manage reporting and exception handling.

Communication, Outreach & Recruitment

  • Ensures program/project success in regard to goals including delivery, impact, etc.
  • Identifies opportunities and strategies for short- and long-term growth & expansion.
  • Executes on internal communications to program stakeholders
  • Evaluation
  • Manages development and maintenance of evaluation processes including associated metrics and key performance indicators.
  • Reviews & analyzes outcome measurements and recommends changes & enhancements to improve program/project.
  • Collaborates with internal/external partners to implement changes designed to improve/increase program/project goals/objectives.

Events

  • Manages programming, educational, student, alumni, workshops, meetings, etc. including speakers, agendas, etc. Sometimes in partnership with McC Event management or other partners.
  • Manages planning and arrangement of meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
  • Manages event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.

Program Development

  • Researches competitor, and state-of-the art developments to enhance, improve, and innovate program curricula and delivery to better meet goals & objectives.
  • Coordinates with program/project sponsors on the delivery of all onsite instruction and provision of logistical support.
  • Oversee development and implementation of new program/project initiatives.
  • Manages relationships with partners, foundations, etc. and coordinates logistical support
  • Continually assesses and innovates program/project to achieve educational goals.
  • Develops strategy for program/project growth and expansion.

Strategic Planning

  • Manages & implements strategic plans.
  • Reviews plans, meets with leadership & key faculty & staff.
  • Provides advice & counsel & recommends changes & improvements to functional operations to better meet organizational needs & objectives.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.

  • 2 years program/project administration or other relevant experience.

Preferred Qualifications:

  • Experience in development and support of projects with multiple stakeholders

  • Familiarity with project management tracking tools and common practice

  • A bachelor's degree in an engineering-related discipline

  • Working knowledge of university policies and procedures

  • Familiarity with working in a university environment, interaction experience with faculty, staff

Preferred Competencies: (Skills, knowledge, and abilities)

  • Intermediate knowledge of word processing, spreadsheet, email, project management software programs
