Marketing & Proposal Coordinator (Hybrid) - Corporate Office - Woodstock, Georgia

Summary
The Marketing & Proposal Coordinator is a member of the Business Development team and supports the full proposal lifecycle from marketing and capture through final submission of compliant, polished, and on-time proposals. Reporting to the Marketing and Bid & Proposal Manager, the Coordinator provides critical assistance with developing marketing content and materials, making routine social media and website updates, planning and coordinating team participation in trade shows and events, reviewing solicitation requirements, formatting and assembling proposal documents, producing graphics and layout elements, and ensuring compliance with solicitations. The position also supports upkeep of content libraries and collateral used across business development initiatives.


This is a hybrid position based out of the Woodstock, GA office, requiring a minimum of three days onsite per week.

Essential Duties and Responsibilities
  • Administrative Volume Development:
    • Assemble and maintain administrative proposal volumes.
    • Prepare and verify bid response forms for accuracy, completeness, and compliance with signature, seal, and notarization requirements.
    • Track and organize required forms and attachments per solicitation instructions.
    • Maintain document version control and file organization in SharePoint.
  • Compliance Review & Formatting:
    • Review RFP, RFI, SOW, and PWS documents to identify formatting and submission requirements.
    • Format proposal volumes to meet solicitation-specified page limits, fonts, margins, and section requirements.
    • Build and maintain compliance matrices cross-referencing requirements to proposal content.
    • Conduct formatting and compliance quality checks prior to submission.
    • Support the Marketing and Bid & Proposal Manager in final compliance reviews.
  • Graphics & Document Design:
    • Create and edit graphics, callout boxes, tables, and infographics within proposal volumes.
    • Ensure visual consistency with brand guidelines across all proposal materials.
    • Support layout and design of capability statements, slicks, and other BD collateral as needed.
  • Marketing & Collateral Support:
    • Support development and posting of LinkedIn content.
    • Assist with event and trade show planning and coordination, including identifying relevant events, handling registration, coordinating material production, and managing shipping logistics.
    • Perform routine website updates.
    • Maintain and update the past performance and capability statement library used across proposals.
    • Coordinate with the marketing team to keep boilerplate content, resumes, and graphics assets current and ready for reuse.
  • Coordination:
    • Track proposal schedules and deliverable deadlines for assigned volumes, from kickoff through submission.
    • Coordinate with subject matter experts and volume leads to gather content and confirm formatting is applied correctly.
    • Support document production tasks (printing, binding, electronic submission prep) as deadlines require.
  • Other duties, as assigned

Qualifications
  • Required:
    • 1-3 years experience in proposal coordination, administrative coordination, and/or marketing/design.
    • Strong proficiency in Microsoft 365 productivity tools, with advanced skills in Microsoft Word formatting (styles, templates, TOCs) and PowerPoint design.
    • Experience using Microsoft 365 collaboration platforms, including Outlook, Teams, and SharePoint.
    • Proficiency in Adobe Creative Suite.
    • High attention to detail and strong organizational skills.
    • Excellent written and verbal communication.
    • Ability to manage multiple deadlines and competing priorities in a fast-paced environment.
  • Preferred:
    • Experience in government contracting or professional services.
    • Familiarity with federal RFP/RFQ structures and compliance matrices.
    • Working knowledge of Adobe InDesign or Illustrator specifically.
    • Familiarity with APMP Body of Knowledge, ideally through formal training or Foundation certification.
    • Experience maintaining content libraries, such as past performance or capability statements.

Salary Range: $58,000 - $72,000 annually, commensurate with experience and design/graphics proficiency

A Background and Drug Screening will be performed for this position.
