Who we are looking for:
As the Sr Commercial Loan Assistant in our Commercial Lending Group, you will manage and collaborate with the loan portfolio managers and loan officers within the Energy and C&I lines of business. The Sr Commercial Loan Assistant is responsible for owning and managing key operational processes that support the commercial lending function from application through closing and ongoing portfolio maintenance. This role serves as a subject matter resource for loan administration procedures, ensures operational excellence, and proactively identifies opportunities to improve efficiency, accuracy, and service levels. Additionally, managing and performing key activities related to booking loans, interpreting loan documents, loan accounting, and loan servicing. Your responsibilities will center around supporting the team, managing client documentation, ensuring loan information accuracy in our system, assisting with loan closings and loan document monitoring, ongoing customer assistance, as well as interacting with stakeholders. You will use your deep understanding of loan servicing and lending services to make impactful decisions affecting operations and assisting customers. The candidate must be a team player, detail oriented, and provide exceptional customer service. The position exercises independent judgment within established guidelines and plays a leadership role in coordinating workflow, mentoring team members, and supporting process improvements.

What you'll do:















* Communicate the execution of and distribution of loan documents to Loan Operations team for closing/funding Energy and C&I loans



* Responsible for communicating with Lending team (loan officers, portfolio managers) to gather and collect all necessary documentation for new loan closings and modifications



* Compile documentation of closing costs, including 3rd party invoices, flood, attorney fees and bank origination fees



* Significant understanding of loan documentation for reviewing entity and KYC documents for accuracy and uploading documents into nCino for file retention



* Build relationship profiles in nCino and assist in collateral, borrower and guarantor set up



* Work closely with Lending team to ensure all requirements for closing are met (closing checklist, KYC documents, Funding & Authorization forms, wiring instructions, funds flow, boarding data)



* Collect from clients and Agent banks reporting and loan documentation. Upload and file reporting items, loan documents and KYC documents into nCino.



* Assist PMs in coordinating follow up with clients, title company, and/or attorney for missing loan documentation, yearly and quarterly financial statements, and other reporting items as necessary



* Effective file maintenance to resolve exceptions or any other documentation deficiencies, along with actively managing outstanding exception items for compliance with credit policy. Monitor exception reports to clear exceptions in a timely manner.



* Maintain accuracy of our core system and proactively address and correct/input any loan account changes in nCino (modified borrower/guarantor, loan amounts, paydowns and fundings, MCRs, loan servicing, troubleshooting, etc)



* Work closely with the relationship managers and portfolio managers to assist in collecting financial data and client phone/email communication to better manage the overall client relationship. Other client-related services include wires, draw requests, billing inconsistencies and other general loan related questions or concerns that arise.



* Responsible for monitoring reports such as past due, paid off loans, and maturing loan lists to assist and proactively inform lending team of potential or pending issues, along with providing support to minimize administrative gaps



* Review all loan packages including proper approval authority, entity documentation, promissory notes, security instruments, loan agreements, lien instruments, title commitments, appraisals, contracts, UCC searches, insurance policies, surveys, and environmental reports.



* Review customer loan files for appropriate customer verification as required by Bank policy; adhere to BSA/AML requirements and bank policy.



* Order Flood, Environmental Reports, Appraisals, and any other applicable documents



* Complete the OFAC status and identification verification requirements for each principal and guarantor



* Review various borrowing entity structures to ascertain the ownership percentages to complete the Certificate of Beneficial Ownership form



* Own and manage assigned commercial loan administration processes to ensure timely, accurate, and compliant execution.



* Identify process gaps, recommend solutions, and implement operational improvements to enhance efficiency and accuracy.



* Develop, maintain, and update procedures, job aids, and process documentation.



* Exercise independent judgment to resolve routine and moderately complex operational issues.



* Make decisions regarding workflow prioritization, exception resolution, and process execution within delegated authority.



* Perform other duties and responsibilities as assigned



What you'll need to be successful:

Success in this job relies on your time management skills, organization, and positive attitude. In addition, you'll need the following qualifications:









* High School Diploma / GED Required



* Commercial lending experience required, including processing, closing, perfecting liens, etc.



* Ability to establish and maintain positive working relationships



* Superior oral and written communication skills, ability to interface with all levels of employees and management



* A strong commitment to customer service and the ability to work quickly and accurately under constant deadlines



* Ability to independently identify resolutions to documentation and/or deadline issues



* Strong attention to detail and possess strong problem-solving skills



* Strong computer and technology-related skills



* Proficient in using Microsoft Office Suite (Word, Excel, Outlook, etc.)



* This position requires 5-10 years of experience in commercial lending experience required, including processing, closing, perfecting liens, etc.



* Preferred Software experience in nCino/Salesforce and Finastra.
