The College of Law at West Virginia University is currently accepting applications for a Faculty Support Administrator.

About the Opportunity

This position is accountable for providing complex, independent, and confidential administrative staff support to the Faculty and administration at the West Virginia University College of Law. The position performs high level administrative duties for the Vice Dean and Associate Dean for Faculty as well as the entire faculty, which includes tenured, tenure-track, teaching, and adjunct faculty. Functions include performing administrative, operational and program duties that support the faculty in their teaching, research, and service. This position requires independent judgment and discretion in carrying out responsibilities with a high degree of professionalism, accuracy and confidentiality. This is a full-time, 10-month, benefits eligible position. This position reports to the Associate Dean for Faculty.

What You'll Do

Executive Administrative Operations

  • Provide high-level administrative support to the Vice Dean and the Associate Dean for faculty.
  • Assist College of Law Committees and faculty meetings; assist with record keeping of all committee reports and meeting minutes. Attend meetings and other events within the organization that support the administration and faculty to take comprehensive and accurate minutes, finalize and distribute meeting agendas, minutes, and supporting documents to attendees and all relevant parties, collaborate with other administrative staff to schedule meetings and arrange logistics; Ensure confidentiality of all meeting materials and discussions.
  • Assist Associate Dean for Faculty to coordinate the endowed lecture series, including working with other staff to coordinate events, marketing, travel, and reimbursement.
  • Acclimate new faculty hires, assist with updating and maintaining faculty and adjunct handbooks; coordinate faculty candidate interviews for the.
  • Associate Dean for Faculty as vacancies arise; Contact applicants and manage presentations, interviews, travel, meals, and reimbursements in conjunction with the Business Planning Officer.
  • Coordinate with the Vice Dean regarding assisting faculty with teaching materials including review of digital content to ensure they meet the ADA accessibility guidelines before materials are posted to eCampus learning platform Survey forms. Create and manage complex college wide Qualtrics surveys on a variety of projects. Collect and summarize data from these survey projects.
  • Collaborate with the Academic Program Coordinator for course administration tasks, including facilitating attendance and student accommodations, which includes monitoring and communication with students and faculty.
  • Assist with new tasks in Workday as WVU transitions functions.

Faculty Support

  • Provide support to faculty and/or other projects on a short-term and long-term basis based on teaching, service, and research needs in consultation with the Associate Dean for Faculty.
  • Coordinate faculty-related events, meetings, and workshops, including logistics, scheduling, and materials preparation.
  • Supports faculty teaching by assisting with course administration tasks, including providing faculty support on eCampus course platform; assisting in preparing materials and presentation for class including preparing and organizing assessment activities to support students; maintaining and organizing files; creating spreadsheets and reports to assist with classroom management, including assisting in collecting reports for student classroom attendance; preparing and printing documents necessary for mid-term and final exams utilizing ExamSoft for some exams.
  • Assist adjunct faculty with eCampus or ExamSoft during midterms and finals.
  • Assist in review and editing of grant proposals or presentations.
  • Serve as point of contact for outside inquiries for faculty expertise; coordinating calendars and logistics of requests.

Pay Grade: 16

Qualifications
  • Bachelor's degree in business administration, Office Administration, English, or related field.
  • A minimum of one (1) year of directly related work experience in support of administrator(s) or faculty unit.
  • A minimum of one (1) year of experience involving:
    • Proficiency with Microsoft Office suite and ability to learn WVU systems such as Examsoft, Ecampus, Mountaineer Marketplace, MyTime and MyExpenses.
    • Experience managing department operations in a university setting.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

Knowledge, Skills, and Abilities

  • Demonstrated program management/coordination experience with exceptional organizational and time management skills.
  • Ability to work independently using judgment to multi-task multiple priorities at the same time.
  • Demonstrated ability to read and interpret documents.
  • Excellent oral and written communication skills.
  • Demonstrated ability to create and produce clear, concise paper and electronic documents.
  • Strong computer skills including Microsoft Office Word, Excel, Outlook, OneDrive and Microsoft Teams.
  • Ability to work with extremely confidential materials and maintain confidentiality.
