Housing Support Specialist/Administrative Coordinator - HCHV Residential Housing Program



STGi is seeking qualified candidates for this position in connection with an active Request for Proposals (RFP). Hiring for this role is contingent upon STGi's selection as the successful awardee.

POSITION SUMMARY:



The Housing Support Specialist/Administrative Coordinator supports daily operations of the Health Care for Homeless Veterans (HCHV) Residential Housing Program located onsite at Northport VA Medical Center. This position serves as the primary onsite administrative and residential operations support role responsible for maintaining a safe, organized, therapeutic, and Veteran-centered residential environment. The Housing Support Specialist supports day-to-day housing operations, resident engagement, housing stability efforts, documentation, admissions/discharges, and coordination of services while ensuring compliance with program policies and VA requirements.


The role combines administrative coordination, resident support services, housing operations, and facility oversight to support Veterans in achieving stabilization and transition to permanent housing.


ESSENTIAL RESPONSIBILITIES


Program Operations & Residential Administration * Support daily operation of the residential housing program and maintain a safe and structured environment for Veterans. * Manage assigned housing units and common areas in accordance with program policies and operational requirements. * Coordinate Veteran admissions, room assignments, move-ins, transfers, discharges, and move-out activities. * Facilitate resident orientation and review of participation agreements, house rules, and resident handbook requirements. * Maintain documentation related to occupancy, bed utilization, resident status, and administrative records. * Coordinate daily room checks and environmental rounds and document observations. * Conduct routine inspections and escalate maintenance, safety, sanitation, or environmental concerns. * Support implementation of emergency preparedness and continuity procedures.


Resident Support & Housing Stability * Serve as a point of contact for Veterans residing in the program and provide excellent customer service and support. * Assist Veterans with obtaining access to basic necessities and community resources including food, clothing, transportation, healthcare, and benefit supports. * Provide crisis intervention, de-escalation, and problem-solving assistance and elevate clinical concerns appropriately. * Support Veterans in completing housing applications and obtaining documents necessary for housing placement. * Coordinate appointments, housing interviews, and relocation activities that support transition into permanent housing. * Encourage Veteran participation in program activities and reinforce expectations that support recovery and independent living.


Compliance, Documentation & Coordination * Maintain accurate and timely records related to resident interactions, housing activities, observations, incidents, and utilization of services. * Document progress toward housing goals and required behavioral observations in accordance with program requirements. * Manage participation agreements and maintain resident files in compliance with confidentiality requirements. * Track use of program resources and maintain administrative logs and reports. * Coordinate communication between residents, case management staff, VA representatives, and community partners. * Participate in interdisciplinary meetings and support preparation for inspections, audits, and quality reviews. * Coordinate with emergency responders, law enforcement, rescue services, and VA leadership when necessary.


Facility Oversight * Assist in maintaining a safe, sober, and therapeutic residential environment. * Monitor compliance with resident expectations and house procedures. * Support incident reporting and follow-up activities. * Identify operational issues and communicate concerns to leadership promptly.

Required Skills

QUALIFICATIONS

Required: * High School Diploma or equivalent required; Associate's or Bachelor's degree in Human Services, Social Work, Public Administration, Behavioral Health, Housing Services, or related field preferred. * Minimum two (2) years of experience in residential housing operations, supportive housing, homelessness services, healthcare administration, property administration, case support, or social services. * Experience working with vulnerable populations including individuals experiencing homelessness, behavioral health challenges, substance use concerns, or complex social needs. * Strong administrative and organizational skills with ability to manage multiple priorities. * Experience maintaining records and preparing reports. * Proficiency in Microsoft Office Suite and electronic documentation systems. * Strong verbal and written communication skills. * Ability to respond appropriately to emergencies and crisis situations.

Required Experience
Preferred: * Experience supporting Veteran populations. * Experience with residential or congregate living environments. * Experience with HMIS or housing documentation systems. * Knowledge of Housing First, Harm Reduction, and trauma-informed approaches. * Experience coordinating housing placement or supportive service activities.

PHYSICAL REQUIREMENTS Ability to walk residential units, perform room checks, climb stairs, stand for extended periods, and occasionally lift up to 20 pounds.



WORK SCHEDULE Full-time onsite position. Schedule may include evening, weekend, and holiday coverage based on program operational requirements. Availability to support emergency response and operational needs is required.
