Job Description:

Reporting to and working lockstep with the Senior Director, this role is essential for ensuring that daily project coordination, cross-functional communication, document management, and financial workflows are handled efficiently to support the department's strategic initiatives.


Essential Duties and Responsibilities:

  • Act as a primary operational partner to the Senior Director, Medical Affairs Operations, Oncology, providing direct tactical support for the execution of departmental plans.
  • Coordinate and monitor the day-to-day progress of various projects and strategic initiatives within Medical Affairs.
  • Prepare, organize, and review documents, reports, and presentations, proactively identifying and implementing operational efficiencies in document workflows.
  • Manage, optimize, and maintain the department's document repository to ensure streamlined access, version control, and efficient information retrieval across the team.
  • Support the practical integration and daily use of digital capabilities and project management tools to enhance overall team efficiency and effectiveness.
  • Facilitate effective communication and information sharing within the Medical Affairs team and with cross-functional partners.
  • Execute on the planning and facilitation of team meetings, including agenda development, capturing key documentation, and actively following up on action items.
  • Manage necessary financial and vendor workflows, including processing Purchase Requisitions (PRs), Purchase Orders (POs), contracting, and invoicing to ensure smooth project execution.
  • Engage with external vendors to assist in executing projects and maintaining timelines.
  • Assist in setting and managing resources, timelines, and budgets to help ensure activities are delivered on time and within scope.


Qualifications:

  • Bachelor's degree required.
  • Relevant experience in project coordination, operations, or a related function, preferably within the pharmaceutical, biotech, or healthcare industry.
  • Understanding and experience with Artificial Intelligence (AI) is preferred.
  • Exceptional organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving skills with an ability to monitor and track interdependencies.
  • Proficiency in Microsoft Office Suite and project management software.
  • Experience supporting operational processes such as document/repository management, meeting coordination, presentation preparation, and vendor/financial workflows.
