Summary: The Quality & Safety Support Coordinator plays a critical role in executing and maintaining compliance, documentation, and reporting functions within the Quality and Safety programs. This position supports the implementation of quality policies, coordinates training and monitoring activities, and ensures that ongoing quality and compliance tasks are completed in alignment with regulatory, third-party (BRC/GFSI), and second-party audit standards. The ideal candidate is detail-oriented, process-driven, and familiar with 5S principles as they apply to a culture of continuous improvement.

What you will be doing:

Quality Coordination & Compliance

* Facilitate and document new hire quality training and orientation, ensuring alignment with BRC Program requirements and internal QMS standards.

* Design and prepare visual materials, SOPs, and presentations for internal quality programs.

* Apply and support 5S principles (Sort, Set in Order, Shine, Standardize, Sustain) in day-to-day coordination activities.

* Execute traceability and mock recall exercises on a quarterly basis, including full documentation, root cause analysis, and recovery rate reporting.

* Prepare weekly QMS reports and follow up with site teams on missing data, anomalies, or trending non-conformances.

* Manage routine Non-Conformance (NC) intakes and product incident reviews; document findings and coordinate corrective action follow-up with local teams.

* Coordinate Shine (sanitation), temperature monitoring, pest control, and facility self-audit schedules, ensuring environmental consistency across zones.

Training & Program Coordination

* Coordinate Quality and Safety training resources and materials, supporting inclusion of relevant topics in the Terms of Reference (TOR) for Shift Meeting call-outs.

* Support second-party audit working sessions (DPO, GMP) and third-party (BRC) review preparation by providing documentation, records, and user feedback.

* Document and escalate compliance platform notification issues to IT or vendor support as needed.

* Assist with WMS/HSI system troubleshooting and user support documentation.

Environmental, Health, and Safety (EHS)

* Support Environmental Health & Safety (EHS) programs, including hazard communication, PPE, emergency preparedness, and incident management

* Assist with incident reporting, investigations, and corrective action tracking

* Conduct safety observations, hazard assessments, and risk identification activities

* Support facility inspections and EHS audits (housekeeping, fire protection, exit routes, equipment safety)

* Assist with the implementation and tracking of corrective actions from audits and inspections

* Coordinate environmental and safety compliance activities (waste handling, spill response, and regulatory requirements)

* Support safety training initiatives and help ensure compliance with required programs.

What you need

A. Education: Bachelor's degree

B. Experience: Minimum 3 years of experience in quality assurance, food safety compliance, or safety program coordination in a warehouse, distribution, or manufacturing environment.

C. Knowledge/Skills:

* Familiarity with 5S principles and their application in a regulated or operational environment.

* Familiarity with BRC, GFSI, GMP, customer Quality Programs, or similar third-party food safety standards.

* Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with QMS or compliance platforms.

D. Preferred:

* HACCP certification or equivalent food safety training (SQF, PCQI, or similar).

* Experience with Warehouse Management Systems (WMS) or Health & Safety Incident platforms (HSI).

* Experience supporting second-party or third-party audit preparation and execution.

* Strong data visualization skills for reporting and dashboard creation.

Physical & Work Environment:

This role operates in a hybrid warehouse and office environment, supporting quality and safety programs within a distribution setting. The position requires regular presence on the warehouse floor to observe operations, support audits, and ensure compliance with food safety and quality standards.

The employee must be able to:

* Move between office and warehouse environments frequently throughout the day

* Stand and walk for extended periods during audits, inspections, and training support

* Occasionally lift and/or move items up to 25 pounds (e.g., training materials, audit supplies)

* Use a computer for extended periods to complete reporting, documentation, and data analysis

* Tolerate varying environmental conditions, including temperature fluctuations (ambient, refrigerated, or freezer areas as applicable), noise, and equipment traffic

This role requires adherence to all safety protocols and personal protective equipment (PPE) requirements, including but not limited to safety vests, steel-toe footwear, hair/beard nets, and other food safety-related gear as required by regulatory or customer standards.

The work schedule is typically aligned with standard business hours; however, flexibility is required to support audits, training, or operational needs across shifts.
