Summary

The Payroll Clerk is responsible for performing transactional payroll and timekeeping functions, reconciliations, audits, and data entry. This role ensures payroll accuracy, timely processing, and compliance by assisting with timecard reviews, payroll reconciliations, and routine payroll inquiries. The Payroll Clerk supports the Finance and Human Resources departments by maintaining payroll records, ensuring timely payments, and assisting with audits and reporting requirements.

Essential Job Responsibilities

Payroll & Timekeeping Support

  • Assists with biweekly and monthly payroll processing by preparing data, validating inputs, and confirming payroll calculations.
  • Review and verify timekeeping data, including hours worked, overtime, shift differentials, and leave balances.
  • Assists with calculating and entering special payments such as bonuses, retroactive pay, shift differentials, stipends, and paid time off adjustments.
  • Supports setup and maintenance of employee payroll records including direct deposits, tax withholdings, and voluntary deductions.

Reconciliations & Audits

  • Assists with payroll reconciliations including wages, deductions, benefit premiums, PTO, garnishments, and tax withholdings.
  • Assists with preparation of payroll-related reports and audit documentation.
  • Identifies and escalates payroll discrepancies or trends to the Payroll Specialist.

Administrative & Compliance Support

  • Supports year-end and quarter-end activities, including assistance with W2 preparation and balancing.
  • Supports internal and external audit requests by providing accurate payroll documentation.
  • Ensures confidentiality and secure handling of employee payroll information.

Customer Service & Collaboration

  • Responds to routine payroll and timekeeping inquiries from employees and managers.
  • Supports training efforts by assisting users with basic payroll and timekeeping system questions.
  • Performs other related duties as assigned.

Customer Service Responsibilities

Demonstrate excellent customer service and standards of behaviors as well as encourages, coaches, and monitors the same in team members. This individual should consistently promote teamwork and direct communication with co-workers and deal discretely and sensitively with confidential information.

Responsibilities in Quality Improvement

Contribute by identifying problems and seeking solutions. Promote patient/family satisfaction where possible; participates in departmental efforts to monitor and report customer service.

Essential Job Qualifications

  • Associate degree in Business, Accounting, or a related field, or equivalent payroll experience is required.
  • 1-3 years of payroll, timekeeping, or administrative experience is required.
  • Basic knowledge of payroll processes, timekeeping systems, and wage and hour practices.
  • Strong attention to detail and ability to perform accurate data entry.
  • Strong organizational skills with the ability to meet deadlines.
  • Effective verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Familiarity with payroll systems (e.g., Workday, ADP, or similar platforms)
  • Proficiency with Microsoft Office Suite
