Job Title: Process Documentation Specialist Job Location: Washington, DC Position Overview:

The Process Documentation Specialist leads delivery - Process Documentation and Knowledge Management - one of the most technically demanding and deliverable-intensive scope areas of the engagement. This role requires both strong technical writing skills and the ability to rapidly develop expertise in Collibra and PoolParty operational processes through interviews with Board technical staff and subject matter experts.

Key Responsibilities:
  • Lead the Documentation Assessment and Gap Analysis, reviewing all eight existing Board documentation artifacts and producing a prioritized enhancement plan within 45 days.
  • Develop Documentation Standards and Templates within 60 days, including SOP, runbook, troubleshooting guide, and quick reference templates with version control and review/approval processes.
  • Develop comprehensive O&M Process Documentation for Collibra and PoolParty, covering account provisioning, access control, system monitoring, incident response, problem management, change management procedures, metadata quality management, and business glossary governance.
  • Develop detailed Standard Operating Procedures for daily, weekly, and monthly administrative and operational tasks, including user onboarding/offboarding, community management, and disaster recovery procedures.
  • Develop Technical Administration Runbooks for PoolParty, covering system configuration, infrastructure management, security administration, integration troubleshooting, performance monitoring, log management, and API management.
  • Develop Troubleshooting Guides and Knowledge Base with symptom descriptions, diagnostic steps, resolution procedures, and prevention strategies.
  • Enhance and update the eight existing Board documentation artifacts; priority documents updated within 90 days of project start.
  • Create process flow diagrams and visual documentation to supplement all written documentation.
  • Establish and maintain the documentation repository; train Board staff on repository access and maintenance.
  • Lead quarterly documentation reviews and develop the Documentation Sustainment Plan.
Required Qualifications:
  • Minimum of 5 years of experience in technical writing and process documentation for enterprise software or data management systems.
  • Demonstrated experience developing SOPs, runbooks, troubleshooting guides, and knowledge base content for IT operations or data management environments.
  • Demonstrated ability to translate complex technical processes into clear, actionable documentation for both technical and non-technical audiences.
  • Experience conducting SME interviews and synthesizing technical inputs into structured documentation.
  • Proficiency in Microsoft Office Suite and documentation management tools (SharePoint, Confluence, or equivalent).
  • Strong version control discipline and attention to documentation quality standards.
Preferred Qualifications:
  • Experience documenting Collibra, PoolParty, Alation, or equivalent data catalog / metadata management platforms strongly preferred.
  • Experience developing process flow diagrams using Visio, Lucidchart, draw.io, or equivalent tools.
  • Certified Technical Writer (CTW) or Society for Technical Communication (STC) membership preferred.
  • Familiarity with Section 508 accessibility requirements for documentation artifacts.
  • Bachelor's degree in Technical Writing, Information Management, Computer Science, or a related field preferred.
