SUMMARY

The Project Manager position is a 15-month role (May 2026 - July 2027) which will lead the delivery of an organization-wide CRM implementation. The CRM is a Microsoft Dynamics solution and includes donor management, reporting and analytics, transaction capture and payment distribution and integration with fundraising software.

This is a 100% dedicated role responsible for driving execution, coordinating cross-functional teams, managing vendors, and ensuring the solution is delivered on time, on budget, and adopted by the business. The Project Manager reports to the VP, Digital Innovation and provides strong leadership, structure, communication and transparency through all phases of the project lifecycle.

PROJECT LEADERSHIP & PARTNER MANAGEMENT

  • Responsible for the strategic leadership and day-to-day execution CRM implementation project, including oversight of the internal project team and 3rd party vendor partnerships.
  • Maintain ownership of critical implementation milestones, including data migration, system configuration, testing, training, and go-live; proactively address and mitigate risks impacting milestones.
  • Establish and maintain relationships with internal project team and organizational key stakeholders, including business analysts, data team, finance and fundraising staff and senior leadership.
  • Establish and maintain strong relationships with key 3rd party vendors and partners. Ensure vendor deliverables, timelines, and contractual commitments are met. Manages and escalates vendor performance issues.
  • Control project scope, schedules, milestones, resources, budget and potential issues.
  • Ensure that adequate resources are available for planned discovery, configuration, testing, training and post-implementation phases.
  • Provide regular status reporting to leadership. Publish status reports for project sponsors and other stakeholders so that issues and solutions are clearly understood.
  • Partner with senior leadership to define and track ROI post-launch.
  • Facilitate stakeholder, vendor, and leadership meetings, including developing clear agendas, managing conflicts, supporting decision-making and capturing deliverables.



PLANNING, SCOPE & DELIVERY

  • Develop and maintain detailed tracking plans for managing milestones, deliverables, project scope, schedule, costs, issues, risks and dependencies.


  • Identify priorities and manage multiple workstreams coordinating activities across departments ensuring deliverables are tracked in line with due dates.
  • Enforce scope control and manage change requests.


  • Conduct regular status meetings with project teams to manage progress against the project plan and keep members informed of updates and changes.


RISK MANAGEMENT

  • Own and manage technical, budget and timeline risks; proactively escalate high-impact risks with actionable recommendations.
  • Provide effective resolution of issues, providing strategic direction and, when needed, escalating to senior leadership.
  • Maintain decision, risk, and issue logs and drive timely resolution.



DATA AND WORKFLOW MAPPING & MIGRATION

  • Identify business processes performed in legacy system using requirements gathering techniques.
  • Partner with department leaders to redesign business processes aligned with CRM capabilities.
  • Identify and map system integration workflows.
  • Manage and direct data mapping, cleansing, and migration activities.
  • Lead data validation and reconciliation deliverables during testing and go-live.



TESTING, TRAINING & CHANGE MANAGEMENT

  • Create test plans and coordinate end user testing. Track issues and work with vendor to resolve, escalating as appropriate.


  • Validate CRM configuration meets defined user requirements.
  • Manage training planning and execution, including identifying training groups, creating training documentation and training deliverables.
  • Drive organizational change management and organizational readiness activities to ensure successful adoption of CRM.



EDUCATION, SKILLS & COMPETENCIES

  • Bachelor's degree in IT, Business, Communication or a related field.
  • 5+ years experience in IT project management required.
  • 3-5 years experience in data migration and/or system integrations required.
  • 3-5 years hands-on experience with Microsoft Dynamics, or similar CRM platform strongly preferred.
  • PMP certification, or other similar project management certification strongly preferred.
  • Demonstrated success in CRM or enterprise system implementations.
  • Demonstrated experience in managing risk, timelines and deliverables while leading complex, multi-stakeholder initiatives that require strong coordination with 3rd party vendors.
  • Strong experience managing cross-functional team and vendor relationships.
  • Excellent communication, facilitation, and stakeholder management skills.
  • Experience leading organizational change management.
  • Experience with Agile methodologies a plus.
  • Experience or familiarity with nonprofit fundraising and/or financial workflows strongly desired.
