MicroHealth is seekingan experiencedOperations Practitionerto lead and optimize enterprise operations in support of a large-scale, multi-site Electronic Health Record (EHR) system deployment. This role combines operational excellence, project coordination, and stakeholder management to drive successful EHR implementations across multiple medical centers. The ideal candidate will leverage technology, analytics, and healthcare IT expertise to manage deployment workflows, ensure compliance with project timelines and budgets, and deliver measurable value to federal healthcare organizations.

Position Overview

The Operations Practitioner will serve as a critical operational leader responsible for managing and optimizing all aspects of EHR deployment operations across multiple sites. This role requires a detail-oriented professional who can drive metrics-based performance, maintain rigorous status reporting, manage risks and issues proactively, and ensure schedule compliance throughout complex healthcare technology implementations. Acting as the primary point of contact for assigned workstreams, the Operations Practitioner will facilitate seamless collaboration among technical teams, clinical stakeholders, vendor partners, and senior management while maintaining operational excellence throughout pre-deployment, go-live, and post-deployment optimization phases.

*This position requires significant client interaction and travel to medical center sites for key onsite events, go-lives, and stakeholder engagement activities. These are hybrid roles on-site 40%.

Key Responsibilities
  • Drive operational excellence by managing deployment workflows, reducing errors, and ensuring adherence to Service Level Agreements (SLAs) and project commitments
  • Develop and maintain standardized processes, guidelines, principles, and Standard Operating Procedures (SOPs) for wave events, activities, and milestone statusing and reporting across the program
  • Optimize business processes using technology, analytics, and healthcare IT best practices to enhance deployment efficiency and effectiveness
  • Manage deployment artifacts across the program including lessons learned registers, action trackers, risk and issue logs, decision registers, and other critical documentation
  • Ensure consistency and repeatability in operational processes across multiple deployment sites at different stages of implementation
  • Monitor and report on key performance indicators (KPIs) and operational metrics to track deployment progress and identify areas for improvement
  • Implement continuous improvement initiatives based on lessons learned and operational data analysis
  • Drive comprehensive metrics collection, analysis, and reporting to provide visibility into deployment progress, risks, and performance
  • Prepare and deliver weekly status reports to project leadership, highlighting accomplishments, challenges, upcoming milestones, and recommended actions
  • Develop and maintain executive-level dashboards and reporting materials using tools such as PowerBI, Excel, and PowerPoint
  • Track and report on schedule compliance, milestone achievement, and deliverable completion across all deployment workstreams
  • Analyze operational data to identify trends, patterns, and opportunities for process optimization
  • Maintain accurate and up-to-date project documentation including status reports, meeting minutes, action item trackers, and decision logs
  • Support the preparation of deliverables such as data analysis, slide decks, written materials, and other documentation to inform decision-making and drive progress
  • Proactively identify, assess, document, and escalate risks and issues that may impact deployment timelines, budgets, or quality
  • Maintain comprehensive risk and issue registers with clear ownership, mitigation strategies, and resolution timelines
  • Facilitate risk and issue resolution meetings with appropriate stakeholders to ensure timely closure
  • Develop and implement risk mitigation plans in collaboration with project managers, technical leads, and clinical stakeholders
  • Monitor risk indicators and early warning signs to prevent issues from escalating
  • Document lessons learned throughout the deployment lifecycle and incorporate insights into future deployment planning
  • Support the development of contingency plans for high-priority risks
  • Communicate routinely with key stakeholders including clinical leadership, IT teams, vendor partners, and senior management to provide updates, address challenges, and maintain momentum on deliverables
  • Act as the primary point of contact for assigned workstreams, serving as the central coordination hub for operational activities
  • Cultivate trusted relationships across organizations (client, vendor, and internal teams) to ensure seamless management of deployment activities
  • Facilitate collaboration among technical teams, clinical stakeholders, and management to align on priorities, resolve conflicts, and drive consensus
  • Develop deep knowledge of client's practices, policies, and processes to effectively carry out activities within the role's purview
  • Translate technical concepts and operational data into clear, actionable information for diverse audiences
  • Support change management and communication efforts to ensure stakeholder awareness and engagement throughout the deployment
  • Oversee all phases of EHR deployment including pre-deployment planning, go-live execution, and post-deployment optimization
  • Coordinate deployment activities across multiple sites at different stages of implementation, ensuring consistency and alignment with program standards
  • Support wave planning and scheduling activities to optimize resource utilization and minimize deployment risks
  • Manage deployment readiness assessments and go/no-go decision processes
  • Coordinate go-live support activities including command center operations, issue triage, and escalation management
  • Support post-deployment stabilization and optimization activities to ensure successful adoption and performance
  • Track and report on deployment milestones, deliverables, and success criteria
  • Review vendor deliverables for completeness, accuracy, and alignment with contractual requirements and project standards
  • Maintain careful attention to detail to identify potential impacts to deployment activities from vendor deliverables
  • Coordinate with vendor partners to ensure timely delivery of required documentation, training materials, technical solutions, and support services
  • Track vendor performance against SLAs and contractual commitments
  • Escalate vendor performance issues or deliverable concerns to appropriate project leadership
  • Support vendor coordination meetings and working sessions to resolve issues and maintain alignment
  • Leverage technology platforms and tools including Microsoft Project, SharePoint, Microsoft 365, PowerBI, and other specialized systems to enhance operational efficiency
  • Maintain project artifacts, documentation, and collaboration spaces in SharePoint and other approved platforms
  • Develop and maintain operational dashboards and analytics using PowerBI and Excel
  • Utilize project management tools to track schedules, resources, dependencies, and critical path activities
  • Support the implementation and optimization of deployment management tools and systems
  • Ensure data integrity and accuracy across all operational systems and reporting platforms
  • Develop and maintain comprehensive operational documentation including SOPs, process flows, guidelines, and reference materials
  • Support the creation of training materials, quick reference guides, and knowledge base articles for deployment teams
  • Maintain lessons learned registers and ensure insights are captured, documented, and shared across the program
  • Ensure all deployment artifacts are properly organized, version-controlled, and accessible to authorized stakeholders
  • Support knowledge transfer activities to ensure continuity and sustainability of operational processes
Required Qualifications
  • Bachelor's degree in healthcare administration, Business Administration, Project Management, Information Technology, or related field
  • Advanced ADKAR Prosci Certified
  • Minimum four years of project management or project coordination experiencein healthcare, technology, or complex operational environments
    • Demonstrated ability to manage multiple concurrent activities and priorities
    • Experience with project planning, scheduling, tracking, and reporting
    • Proven track record of delivering results on time and within budget
    • Understanding of workflow optimization, process improvement, and quality management principles
    • Experience developing and implementing Standard Operating Procedures (SOPs) and operational guidelines
    • Ability to identify inefficiencies and implement solutions to improve productivity
    • Experience collecting, analyzing, and presenting operational data and metrics
    • Proficiency with data visualization and reporting tools
    • Ability to translate complex data into actionable insights for diverse audiences

  • Microsoft Project:Experience with project scheduling, resource management, and critical path analysis
  • SharePoint:Familiarity with document management, collaboration sites, and workflow automation
  • Microsoft 365:Experience with Teams, OneDrive, and other collaboration tools
  • Data Analysis & Reporting:Ability to work with large datasets, perform analysis, and create meaningful reports
Preferred Qualifications
  • Experience with Healthcare IT or EHR deployment projects(Epic, Cerner/Oracle Health, Meditech, Allscripts, or similar enterprise EHR platforms)
  • Understanding of healthcare operations, clinical workflows, and the unique challenges of healthcare technology implementations
  • Familiarity with healthcare regulatory requirements (HIPAA, Joint Commission, CMS regulations)
  • Experience supporting federal healthcare organizations (VA, DoD, IHS) is highly desirable
Salary: $120,000-$130,000
