Millennium Health LLC is an accredited specialty laboratory with more than a decade of experience in medication monitoring and drug testing services, helping clinicians monitor the use and misuse of prescription medications and illicit drugs. The testing is used by healthcare professionals to obtain objective information about patients' recent use of prescription medications and/or illicit drugs and helps monitor the effectiveness of treatment plans.

The Scheduler plays a key role in ensuring efficient operations by managing scheduling, staffing, and administrative tasks. This position is responsible for coordinating logistics, supporting compliance, and providing administrative assistance to the field management team. It is essential for the incumbent to be knowledgeable about all relevant client requirements. The ideal candidate will have experience in healthcare administration and clerical support, demonstrate initiative, excel in a fast-paced, customer-focused environment, and embody MH company values.

The following are intended to be examples of the tasks for which the person in this position is responsible. These tasks are not intended to be complete or all-inclusive and do not preclude management from assigning other or related tasks and projects for which the individual has demonstrated competency through performance.

  • Plan, schedule, and assign LSA to practice locations in partnership with the Field Service Managers and/or LSA Field Supervisors.
  • Prioritize staff resources and/or book travel reservations to meet coverage requirements.
  • Manage scheduled and unscheduled time off from LSA staff and ensure appropriate practice coverage.
  • Communicate with the Field Service Manager and/or Sales Rep regarding changes to LSA coverage at a practice.
  • Partner with the Field Service Managers and/or LSA Field Supervisors to review new hiring requests to determine staffing needs.
  • Manage and update schedules and practice details in Salesforce.com.
  • Monitor and track progress of dispatched shifts to ensure proper coverage.
  • Provide daily administrative assistance to Field Service Managers and LSA Field Supervisors.
  • Support compliance efforts by managing agreements, onboarding documentation, and other related administrative tasks.
  • Complete tasks related to the ordering, distribution, and inventory of supplies to maintain appropriate stock levels and ensure timely replenishment.
  • Address and resolve scheduling conflicts or travel issues promptly.
  • All other duties as assigned

Education

  • High school diploma or GED equivalent required. Associate's degree preferred.

Experience

  • 1+ years in scheduling, logistics, or administrative support roles.
  • 1+ years of experience working in customer service where ownership of managing the customer experience was/is emphasized.
  • 1+ years of experience using a scheduling tool such as Salesforce Field Service is required.
  • Healthcare/biotech experience preferred.

Required Skills/Knowledge/Abilities

  • Proficient in MS Outlook and Teams. Basic knowledge of MS Excel and Word.
  • Advanced customer service, problem solving, critical thinking and interpersonal skills with focus on quality and professionalism.
  • Ability to effectively address inbound calls, Live Chat, case, and email volume.
  • Ability to follow and adhere to Standard Operating Procedures (SOPs) and/or Dept policies.
  • Ability to effectively communicate both verbally and in writing with customers, partners, and peers.
  • Strong attention to detail.
  • Ability to multi-task, prioritize, and follow through on tasks, projects, and assignments.
  • Self-starter, capable of working independently and collaboratively.
  • Flexible and adaptable with changing business needs.

Potential Hiring Range:

  • Salary Range: $22-$25/hr.
  • Salary offered is dependent on qualifications, experience, and geographical location.
