Summary: The Department of Neurology is seeking a highly organized Administrative Coordinator to deliver comprehensive support to our faculty and staff. This position plays a vital role in maintaining smooth day to day operations within our fast paced clinical and academic environment. The coordinator will manage complex calendars, oversee department-wide travel arrangements, and ensure efficient planning of faculty meetings and recruitment activities. The ideal candidate will have experience using scheduling platforms such as Qgenda and possess moderate to advanced skills in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Responsibilities:
- QGenda Schedule Management: This includes the daily management, updating, and troubleshooting of schedules for all neurology providers to ensure clinical and academic coverage is accurately reflected.
- Calendar & Meeting Management:Oversee complex calendars for faculty and leadership. Coordinate and schedule internal and external meetings, including room reservations, catering, and virtual meeting setup (Zoom/Teams).
- Recruitment Support:Actively assist in the departmental recruitment process. This includes coordinating interview schedules for candidates and conducting "Hiring for Excellence" interviewsto ensure a high standard of talent acquisition and cultural fit.
- Travel & Expense Management:Manage all aspects of professional travel, including flight and hotel bookings, registration, and ground transportation. Responsible for the timely creation and submission of travel expense reports via SAP Concur.
- Financial Oversight:Regularly reconcile book and travel fundsfor faculty and staff. Monitor account balances to ensure compliance with departmental budgets and proactively manage funds to ensure there are no overages.
- Administrative Support:Provide daily operational support to faculty and staff, including processing correspondence, maintaining records, and assisting with the credentialing or onboarding processes for new providers.
- Liaison & Communication:Serve as a professional point of contact for internal stakeholders and external visitors, ensuring a high standard of communication and hospitality.

Education Requirements: * High School diploma or GED Licensure/Certification Requirements: * No licensure or certification required. Professional Experience Requirements: * Three (3) years of clerical or administrative experience. * If Bachelor's degree, one (1) year ofclerical or administrative experience. * If Associate's degree, two (2)years of clerical or administrative experience. Knowledge/Skills/and Abilities Requirements: * Effective verbal and written communication. * Prior experience with scheduling software preferred. * Hiring for Excellence preferred.
