Reporting to the AS Project Coordinator Supervisor, the AS Custom Sample Specialist coordinates premium and custom sample requests by creating and processing material IDs, sales orders, and spot purchase orders in SAP, tracking samples through shipment, and verifying order accuracy. The role serves as a primary point of contact for internal and external stakeholders, communicates status, and resolves service issues, supports internal sample requests, maintains product and supplier knowledge, prepares basic reports, and contributes to process improvement initiatives using SAP, Microsoft Office, Salesforce, and Newforma.

What you'll be doing:

  • Clarifies and documents premium and custom sample requirements for each request.
  • Processes sample and internal orders by manually creating material IDs, sales orders, and spot purchase orders in SAP.
  • Organizes, tracks, and manages sample packages from request through shipment.
  • Communicates order status, timelines, and issues to internal stakeholders, including Sales, Premium Associate Project Managers, Project Coordinators, and Project Managers.
  • Serves as a primary point of contact for daily communication with internal and external customers to ensure positive customer experience and timely resolution of service issues.
  • Processes internal sample and material requests for Marketing, Engineering, and other miscellaneous needs.
  • Facilitates coordination and information flow between customers, Commercial Solutions Managers (CSMs), Account Managers, suppliers, and internal team members.
  • Develops and maintains working knowledge of the AS product line and supplier capabilities to fulfill requests accurately or recommend suitable alternatives.
  • Verifies customer job details, delivery information, and order accuracy prior to shipment.
  • Builds and maintains collaborative working relationships with suppliers and customers.
  • Compiles operational data and prepare monthly reports and metrics related to sample activity.
  • Provides backup support to the AS Premium Associate Project Manager, as needed.
  • Participates in process improvement initiatives and IT projects related to order processing and acquisition integration.
  • Utilizes key systems and tools, including SAP, Microsoft Office (Excel, Word), Salesforce, and Newforma Project Management.

  • Proficiency in operating a PC with basic knowledge of Microsoft Excel, and Word
  • Strong focus on accuracy and attention to detail.
  • Ability to compile basic operational metrics and reports using Excel or similar tools.
  • Demonstrated professionalism, accountability, and willingness to adapt to changing priorities.
  • Ability to adjust schedule to meet business needs.

Qualifications:

  • High School diploma or GED equivalent required.
  • Strong 1-3 years' experience, preferably in a customer service environment.
  • Experience with order entry, order tracking, or transactional processing in an ERP system preferred.
  • Experience with SAP Sales and Distribution platform desired.
  • Ability to perform the physical aspects of the role, including shipping activities, opening boxes, handling samples, lifting and moving boxes, and remaining active throughout the workday
