Overview

The Underwriting Assistant supports the growth, accuracy, and operational efficiency of the Specialty Risk Underwriting team by managing key components of the rate quote workflow, form review process, profit shares and general project management activities. This role ensures all underwriting requests are properly vetted, organized, and documented prior to submitting to the Underwriters for review.

The ideal candidate is detail-oriented, proactive, comfortable with numbers, and able to navigate complex information across multiple systems. Success in this role requires the ability to collaborate effectively with Underwriters, Account Managers, and internal support teams while maintaining a strong understanding of underwriting processes, documentation standards, and internal audit underwriting requirements.

Responsibilities

Rate Quotes

* Review all initial rate quote requests to confirm required information is provided (Salesforce documentation, rates, increase amounts, class guides, surcharges, insurance structure, actuarial information, etc.).

* Prepare quotes in the established departmental format (or updated format as determined) before assigning to the Underwriter.

* After the Underwriter completes the quote, verify all required documentation is saved to the shared drive and ensure Salesforce is updated accurately (UW folder, UW authority, fee structure in Product section, changes clearly marked, etc.).

* Coordinate with Account Managers to track client acceptance, manage requested revisions, communicate changes back to the Underwriter, and ensure accepted proposals are added to living rates.

* Confirm all documentation is properly stored and recorded prior to transitioning the request to DI.

Form Reviews

* Validate that all required documents for form review are submitted (dec pages, forms, redlines, certificates of translation where applicable, etc.).

* Review form changes to determine whether Underwriter review is necessary and notify the Underwriter when updates are administrative only (e.g., compliance edits, formatting, contact information), helping streamline the process.

General Project Management

* Take notes and track action items for underwriting meetings and quarterly business line reviews, ensuring follow-through and transparency.

* Provide organizational support for major underwriting initiatives, including:

o New Program Implementations: Verify all required information has been collected from Underwriters and internal support teams and ensure checklists are completed.

o Profit Share Management: Maintain an organized list of all profit share agreements, required data, run and payment dates, and verify proper sign-off and storage of documentation once profit share calculations are completed.

o Assist in creating presentations and executive reports by conducting research, gathering data from internal reporting systems, and preparing initial draft layouts.

Qualifications

Qualifications

* 1-2 years of professional experience in underwriting support, insurance operations, financial services, or a related administrative/analytical role.

* Strong attention to detail with the ability to review, organize, and track complex documentation across multiple systems.

* Proficiency with Microsoft Office (Excel, Word, Outlook) and the ability to quickly learn internal systems such as Salesforce and shared-drive structures.

* Comfortable working with numbers, rate structures, and varied financial materials.

* Excellent organizational and time-management skills, with the ability to manage multiple tasks and deadlines in a fast-paced environment.

* Effective written and verbal communication skills, with the ability to collaborate across Underwriting, Account Management, and internal support teams.

* Self-motivated, proactive, and able to identify gaps, inconsistencies, or missing information in submissions.

* Ability to maintain accuracy and compliance with internal audit requirements and documentation standards.
