Role Summary

The Leadership Administrative Partner will provide comprehensive administrative and leadership support to the multiple executives. This role serves as the primary point of contact for complex calendar and inbox management, team-building and social event organization, travel arrangements, expense reporting, and internal/external meeting coordination. The ideal candidate will possess excellent written and verbal communication skills, exercise and professional judgment, and demonstrate outstanding time management and prioritization skills. This role reports to the Chief of Staff for the CFO Organization. The position is located in the Palo Alto office with a requirement to be onsite.


Responsibilities

  • Calendar Management: Lead complex calendars for Multiple VP'sPrioritize appointments, meetings, and travel arrangements with exceptional attention to detail.
  • Travel & Logistics: Arrange complex domestic and international travel logistics, including flight accommodations, ground transportation, and detailed itineraries.
  • Expense Management: Enter and own all expense reporting using internal systems, ensuring accuracy and timely submission.
  • Document Management: Support securing necessary signatures on legal, operational, and strategic documents. Organize and maintain highly confidential files and records.
  • Corporate Development Support: Lead ad-hoc projects to support the team's needs and maintain a strict level of confidentiality regarding corporate strategy and development information.
  • Communication Liaison: Act as a gatekeeper and liaison for the executives, effectively managing incoming and outgoing communications and drafting professional correspondence.
  • Collaboration: Work effectively with other administrative partners and departments to ensure seamless operational flow.
  • Relationship Management: Foster strong professional relationships with internal stakeholders, board members, and external partners on behalf of the Executives this role supports.

Qualifications

  • Bachelor's degree or equivalent experience required.
  • 3+ years of experience in an administrative role, preferably in the tech or automotive industry supporting Executive leaders in a fast-paced environment.
  • Advanced proficiency in Google Suite and related apps; ability to quickly learn task-specific software and utilize AI for efficiency.
  • Strong problem-solving skills with the ability to operate independently.
    Demonstrated ability to prioritize under pressure and anticipate last-minute changes.
  • Experience interacting with external stakeholders (e.g., Board of Directors, investors, or strategic partners).
  • Location: Must be available to work onsite in Palo Alto.

Pay Disclosure

The salary range for this role is USD 84,600-105,800 for SF Bay Area based applicants. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, geographic location, shift, and organizational needs.

The successful candidate may be eligible for annual performance bonus and equity awards.
