The Role

At QuidelOrtho, we're advancing the power of diagnostics for a healthier future for all. Join our mission as our next Commercial Operations & Sales Coordinator. The Commercial Operations & Sales Coordinator plays a crucial role in providing administrative support to North America Sales leadership and coordinating commercial operations processes related to field sales personnel. This role is integral to the success of sales leaders, providing comprehensive administrative support to streamline operations and drive business efficiency. Oversee administrative procedures for Sales Areas, ensuring seamless operations and adherence to corporate guidelines. The Sales Coordinator acts as a liaison between outside vendors, internal departments, and field sales personnel. The position involves scheduling meetings, and expense reports, onboarding contractors, coordinating travel arrangements, assisting with new hires, transfers, terminations and maintaining various reports and spreadsheets for leaders.

The Responsibilities
  • Manage regional operating expenses, ensuring accuracy and compliance with corporate policies.

  • Schedule and organize meetings, ensuring all necessary materials and information are prepared and distributed.

  • Process expense reports promptly and accurately, adhering to company policies and procedures.

  • Coordinate travel logistics for sales personnel optimizing travel plans for cost-effectiveness and efficiency.

  • Provide administrative support for sales leaders, assisting with the onboarding of new hires, and facilitating promotions and transfers.

  • Maintain various reports and spreadsheets, ensuring data integrity and accessibility for decision-making: org charts, rosters, attendance lists, registrations to meetings.

  • Process and manage individual and Citibank corporate meeting card expense reports, travel arrangements using Concur

  • Schedule and manage calendars for trainings, meetings, and HCP customer travel for demo site visits using Outlook and Concur/CMC.

  • Organize team meetings, including sourcing offsite spaces and coordinating logistics through CVENT/CMC/Concur.

  • Assist with onboarding and terminations, including ordering equipment, completing personnel update forms, and updating necessary records.

  • Maintain and update employee rosters, org charts, and email distribution lists using Excel and SharePoint.

  • Open purchase orders, manage vendor maintenance through Ariba and Procurement, and coordinate finance accruals for monthly reports - Rita - this is minimal for sales

  • Manage HCP/HCO engagements, regional show payments, in-house catering, conference room reservations, and shipping tasks using appropriate tools.

  • Act as record coordinator, ensuring organized and compliant file systems.

  • Coordinate candidate interviews, travel and schedules for meetings and calendars.

  • Address vendor credentialing, phone/equipment upgrades, and various sales team inquiries.

  • Ensure completion of mandatory trainings through learning management system.

  • Manages procurement administration - opens purchase orders, manages vendor maintenance through Ariba, receives invoices, reconciles outstanding issues that may cause a delay in payments to vendors and coordinates finance accruals for monthly reports.

  • Corporate meeting card management: monitor, usage and expenses including sales exhibit payments, process expense reports promptly and accurately, adhering to company policies and procedures including complying with HCC audits

  • Manages booking travel for customers to experience center and demonstration events

  • Books new hire travel to events in case they have not received their corporate card in a timely manner

  • Partners with internal stakeholders including the incentive compensation team on any reporting needs

  • Perform other work-related duties as assigned.

The Individual

Required:

  • Education: Associate degree in Business Administration, Communications, or a related field or 7 years of equivalent experience

  • Experience:Minimum of 3 years of experience in an administrative or coordination role, preferably in a sales or corporate environment managing projects or business processes.

  • Proficiency in Microsoft Office Suite (Excel, Outlook, SharePoint, PowerPoint, Visio).

  • Strong organizational skills and attention to detail.

  • Event planning and meeting coordination skills with client-focus/customer-service approach.

  • Excellent written and verbal communication skills.

  • Ability to prioritize tasks and manage multiple projects simultaneously.

  • Ability to work independently and as part of a team.

  • This position is not currently eligible for visa sponsorship.

Preferred:

  • Bachelor's Degree

  • Experience with Concur, Citibank CMC, Ariba, and other relevant software is preferred.

  • Familiarity with corporate policies and compliance guidelines.

  • Internal Partners: IT Service department, Procurement, Finance, North America Leadership Team in Commercial, Sales Leadership, Field Sales Personnel, training, marketing, compliance.

  • External Partners: Vendors

The Work Environment

Remote/home office environment. The role is remote, involving regular use of computer and office equipment. It requires frequent communication via email and phone, with occasional travel for meetings and events.

The Physical Demands

The position involves standard physical demands associated with an office environment, including the ability to sit for extended periods and perform repetitive tasks such as typing. Additionally, there may be occasional requirements to lift and carry office supplies or equipment.

Salary Transparency

The salary range for this position takes into account a wide range of factors including education, experience, knowledge, skills, geography, and abilities of the candidate, in addition to internal equity and alignment with market data. At QuidelOrtho, it is not typical for an individual to be hired at or near the top range for their role and compensation decisions are dependent on the facts and circumstances of each case. The salary range for this position is $51,000 to $70,000 and is bonus eligible. QuidelOrtho offers a comprehensive benefits package including medical, dental, vision, life, and disability insurance, along with a 401(k) plan, employee assistance program, Employee Stock Purchase Plan, paid time off (including sick time) and paid Holidays. All benefits are non-contractual, and QuidelOrtho may amend, terminate, or enhance the benefits provided, as it deems appropriate.
