YOUR DAY-TO-DAY WILL INCLUDE:



  • Review Project Setup Information for new jobs, confirming proper billing and pricing information.
  • Create necessary Work Breakdown Structure (WBS) elements in accounting system to track and invoice projects according to the terms of our contract or proposal.
  • Maintain fee and budget values in system for projects (including tracking of Change Orders).
  • Review monthly revenue recognition direction from PM's and ensure compliance with company revenue recognition standards.
  • Create and maintain bill rate schedules as needed for specific clients or specific jobs.
  • Perform time and expense transfers, as needed, as directed by PM's.
  • Perform necessary Unit Pricing entries as needed.
  • Generate Prebill and Draft invoices, along with revenue reports for monthly PM reviews.
  • Review significant project costs and all subconsultant invoices to ensure proper project WBS and GL account coding in accordance with contract terms and internal accounting requirements. Route all subconsultant invoices for approval by the project manager (following established workflow).
  • Monitor A/R and WIP balances and assist PM's in routine follow-up and collection efforts for invoices past normal payment terms.
  • Enter % completes for billing and make transfers of time and expenses as noted by the project manager and approved by the project accountant.
  • Finalize and submit invoices according to established quality standards while adhering to project/client contract and invoicing requirements. May include online submittals, emails, and traditional mailing options.
  • Work with Project Accountants to update client contact information and maintain billings requirement spreadsheets for each project/client.
  • Perform final close-out of invoices in accounting system (BST) as part of monthly closing process.
  • Other duties as assigned include but are not limited to credit card reconciliation, project setups running and distributing reports.
  • Define and implement processes and procedures associated with areas of direct responsibility to improve overall project accounting function.
  • Provide training and assistance to project managers and operation unit management to support improved understanding of project financial data.
  • Provide support and training to junior level project accountants.
  • Based on experience and knowledge of projects and project managers competence level, question project managers on time or expense transactions that may be charged incorrectly, budget/revenue recognition issues that may need revision or additional review.
  • Work with accounting systems to evaluate procedures, maximize use of accounting systems, and work towards improving accounting operations.


WHAT YOU NEED:



  • Bachelor's degree (Finance, Accounting or Management) or equivalent experience working in the field of project accounting for a professional services consulting firm. A&E and Survey Industry experience preferred.
  • Experience using integrated ERP Systems. (BST global experience preferred).
  • Demonstrated experience and understanding of terminology / functions as relates to the project accounting role.
  • Strong working knowledge of Excel, Word and Adobe (with markup and editing functionality).
  • High degree of computer skills in an integrated and networked accounting environment.
  • Must be responsive to information requests and assertive, but tactful, in dealing with clients and Project Managers when needed.
  • Comfortable in environment with highly structured work process and monthly deadline driven timelines.
  • Must be highly organized, detailed oriented and precise and timely with work produced.
  • Must be highly disciplined and able to work independently, and with minimum supervision.
  • Must be able to work with, and be respectful of, confidential information.
  • Should be comfortable and willing to perform a variety of different tasks and work well in environment with frequent interruptions.

Position could be fully remote, preferably a hybrid model 3 days office/2 days remote, some business travel required.



  • Work with assigned project managers monthly to generate accurate and timely billings and revenue recognition on projects.
