The division includes several key areas: One Stop Student Services (which integrates the Office of Financial Aid and the Registrar's Office), the Office of Graduate and Undergraduate Admissions, and the Center for Pre-College Programs.
The Office Assistant in the Office of Graduate and Ungraduate Admissions provides day-to-day office support ensuring high-quality, student-centered service delivery. This role supports staff, office workflow, and continuous improvement within the Office of Graduate and Undergraduate Admissions. |

Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Office Assistant. Reporting to the Director of Campus Programs and Visitor Services, the Office Assistant provides, but is not limited to, program coordination and administrative support to the Office of Graduate and Undergraduate Admissions. The Office Assistant is the first point of contact for visitors to the Office of Graduate
and Undergraduate Admissions. He/she/they must be able to professionally manage high-volume welcome/reception and processing areas.
This position is responsible for and not limited to the following:
- Coordination with the Director and the Administrative Coordinator to ensure the day-to-day operations of the Office of Graduate and Undergraduate Admissions are supported.
- Prioritize tasks and manage the flow of traffic in the welcome/reception and processing areas, handling regular walk-in traffic as well as scheduled appointments/visitors to the office.
- Manage other duties as assigned throughout the year demonstrating their capability to learn new information, understand it and use that information to be effective in the position.
- Due to the nature of this position and its open location, this person must maintain an organized, neat, clean, and confidential area; must also ensure that the reception area is always visually pleasing and welcoming to visitors.

Qualifications
| Minimum Education and Experience |
- High school/vocational school education or equivalent and three years of related clerical work experience.
- Computer data entry skills are necessary.
- Requires the ability to record and maintain data in computerized and non-computerized formats. Must be able to communicate effectively.
- Must have effective client service skills.
- The ability and willingness to master new technology is strongly desired.

- Requires a high school/vocational school education or equivalent combination of: secretarial experience, clerical experience.

- Position requires passion for customer service and providing an exceptional degree of responsiveness.
- Must be able to manage multiple tasks while handling interruptions.

IMS, ImageNow, Salesforce, Perceptive Content, Graduate Portal and the Enrollment System. |
