Overview
If you love keeping projects on track, juggling details with flair, and being the goto communicator who keeps everything running smoothly, then our Project Coordinator role might just be your next adventure! We're seeking a highly organized and collaborative Project Coordinator to drive smooth project execution by managing fixture orders, coordinating with internal teams and external vendors, and ensuring clear, consistent communication throughout the project lifecycle. This role requires exceptional attention to detail, strong organization, and the ability to manage multiple tasks simultaneously. The ideal candidate is a clear communicator, proactive facilitator, and highly skilled in email and workflow management. Experience with Smartsheet and Excel is preferred.
Salary range: up to $55k based on experience
Responsibilities
Vendor & Fixture Management
Place, track, and manage all fixture orders across assigned projects.
- Serve as primary point of contact for vendors, ensuring timely responses, clarifications, and updates.
- Maintain vendor communication logs and follow up to ensure all deliverables meet project timelines and specifications.
Project Coordination
- Support daytoday coordination of project tasks, deliverables, and timelines.
- Collaborate with crossfunctional partners, including merchandising, construction, operations, and space planning teams.
- Prepare and distribute project documentation (e.g., schedules, status updates, fixture tracking sheets).
- Escalate issues proactively to keep projects on track.
Communication & Facilitation
- Draft clear, concise, and professional communication to internal and external partners.
- Facilitate communication channels to ensure alignment between teams.
- Organize and participate in project meetings; document and distribute action items when needed.
- Maintain strong working relationships with stakeholders across departments.
Administrative & Technical Support
- Manage email inboxes effectively, prioritizing urgent requests and maintaining organized communication threads.
- Utilize Smartsheet and Excel for project tracking, documentation, analytics, and reporting.
- Update and maintain project databases, spreadsheets, and shared drives.
- Support continuous improvement by identifying opportunities to streamline workflows
Qualifications
- 2+ years of experience in project coordination, vendor management, or related field.
- Proficiency with Smartsheet and Excel (including basic formulas, sorting/filtering, and data organization).
- Strong written and verbal communication skills.
- Exceptional attention to detail and organizational skills.
- Ability to multitask in a fastpaced environment.
- Demonstrated ability to build and maintain positive vendor and crossfunctional relationships.
- Strong problemsolving skills with a proactive approach to task management.
Preferred Skills
- Experience supporting merchandising, construction, retail operations, or fixturerelated projects.
- Familiarity with project documentation, scheduling, and coordination best practices (referenced in internal project workflows).
- Comfort facilitating communication across diverse functional teams.
- Strong analytical skill with the ability to identify and understand issues and opportunities, using effective approaches for problem solving.
- Capacity to learn multiple computer systems and web-based applications.
