CGL is a provider of justice facility planning, design, and program management and maintenance solutions to justice facilities and other public facilities throughout the U.S. and internationally. CGL Facility Management, LLC provides comprehensive contract facility maintenance services to commercial clients.

A Brief Overview
The Executive Administrative Assistant will be responsible for supporting the division President by directing questions and requests for information, managing complex reports and creating and monitoring complex plans and schedules as well as setting up meetings and arranging travel. The administrative work for this role involves top-level management contacts and exposure to highly sensitive and confidential information requiring considerable tact, diplomacy, and judgment. May also be in charge of drafting and distributing correspondence, preparing reports, maintaining files, and performing various special projects.

What you will do



  • Proactively manages daily calendars and meetings for the executive leader and other members of the team using discretion in the screening and prioritization of leader's time.
  • Independently answers and/or triage requests for information.
  • Independently establishes, organizes, and maintains electronic and paper files per company guidelines.
  • Facilitates communication and act as an effective liaison between internal and external customers by providing confidential, timely and accurate information.
  • Manages key reporting documents with impeccable attention to detail.
  • Reviews and prioritizes documents and respond as appropriate.
  • Drafts and prepares correspondence, announcements, presentations, and reports both internal and external to the company.
  • Creates and manages conference calls and meetings, including the preparation and organization of meeting space, materials in advance and order food for (breakfast/lunch, etc.).
  • Manages the coordination and arrangement of meetings and events, some with very high-level executives both inside and outside the company.
  • Arranges complex international and domestic travel.
  • Accepts all incoming packages for president and executive staff and direct to appropriate individuals.
  • Provides coverage of receptionist duties to all visitors and vendors in-person and on the phone.
  • Handles coding and payment of vendor invoices.
  • Uses sound judgment and complex problem-solving skills to provide professional administrative support in a fast-paced environment.
  • Complete all required compliance, safety, and developmental training as assigned.
  • Completes President's expense report.
  • May oversee the work of the receptionist or junior administrative staff.


Qualifications



  • Bachelor's Degree in Business Administration, equivalent work experience Required or
  • 4-6 years of progressively responsible experience in a similar position Required and
  • Relevant industry experience Preferred and
  • Experience working in a dynamic environment with a commitment to meeting deadlines Required
  • Strong time management, organizational skills, and detail oriented.
  • Demonstrated ability to exercise excellent judgment and discretion in handling highly confidential information.
  • Strong written and verbal communication skills and proven ability to communicate clearly and professionally with individuals at all levels, internally and externally.
  • Ability to handle multiple priorities from various constituents with tight deadlines in a fast-paced environment.
  • A high degree of professionalism and a strong work ethic coupled with a sense of responsibility and integrity required.
  • Ability to resolve problems independently and work with a high degree of autonomy and responsibility with attention to detail.
  • Strong computer proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required.
  • Concur is a strong plus.
  • Requires ability to complete high volumes of tasks and projects quickly with little to no guidance; react with appropriate urgency to situations and events that require quick response or turnaround; take effective action without having to know the total picture; and efficiently and creatively solve difficult or complex problems that affect people within the group or other related groups.
  • High level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company.
