JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

This position supports the NTC Dental Programs with a primary focus on billing, insurance processing, and exceptional customer service. Working closely with the clinic manager and faculty, as well as students and patients, this position facilitates coordination and delivery of administrative operations in a fast-paced community dental clinic environment.

Note: This is a Limited-Term Employment (LTE) position with a projected end date of June 30, 2029.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Insurance and Billing:

  • Verify patient dental insurance eligibility, coverage, and benefits prior to appointments.

  • Accurately process and submit dental insurance claims, ensuring compliance with payer requirements and timelines.

  • Post insurance payments and adjustments and reconcile daily financial transactions.

  • Track and follow up on outstanding insurance claims to ensure timely reimbursement and resolve any denials or discrepancies.

  • Assist patients in understanding account balances and responsibilities.

  • Collect payments, co-pays, and outstanding balances, and record all financial transactions accurately.

  • Maintain accurate and up-to-date patient financial records and documentation of all billing and payment activities.

  • Communicate with insurance companies and patients to resolve billing inquiries and discrepancies.

  • Ensure compliance with clinic policies, insurance regulations, and confidentiality requirements related to financial and patient data.

Administrative Operations:

  • Greet and check in patients for clinic, ensuring a welcoming and professional experience.

  • Receive a high volume of incoming calls from patients and vendors, providing accurate information and courteous assistance to the public.

  • Schedule patient appointments, coordinate student provider schedules, and manage clinic calendar efficiently.

  • Maintain accurate and organized patient records, charts, and electronic health information in compliance with privacy and confidentiality standards (HIPAA).

  • Coordinate communication between patients, students, faculty, and staff to support smooth clinic operations.

  • Maintain and organize required patient forms.

  • Maintain the cleanliness and organization of the reception, chartroom, and administrative areas.

  • Support faculty, students, and the clinic manager with day-to-day operational tasks, including patient flow coordination and record retrieval.

  • Assist with patient referrals, radiograph submissions, and communication with external dental providers as needed.

  • Utilize practice management software and communication systems (e.g., Propio, scheduling systems) efficiently and accurately.

  • Uphold a high standard of customer service by addressing patient questions and concerns promptly and courteously.

Dental Clinic Support:

  • Cross train to provide back-up for Administrative Assistant

Minimum Qualifications Required

In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.

Education:One Year Certificate (or Equivalent)

Billing and Coding Technical Diploma, or equivalent knowledge and skills gained through occupational experience.

Experience:1 Year

Additional Experience Information:

  • Minimum of one year of billing and coding in a dental office is preferred

Knowledge, Skills and Abilities

Ability to manage and track document changes; create, modify and format templates and files; ability to use multiple computer screens and multitask in several computer applications.

Ability to understand complex concerns and formulate solutions; communicate professionally with various audiences in different situations.
