The George Washington University University Advancement (UA) Division is seeking a Project Coordinator for the Office of the Vice President (
OVP).
UA is responsible for leading the university's alumni and fundraising efforts and seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients and other friends. Our goal is to advance GWs mission of excellence in education, research, scholarship, and patient care.
The Project Coordinator,
OVP plays an integral role in supporting and coordinating UA's work with university leadership. This position works closely with internal stakeholders in UA, the Office of the President, the Office of the Provost, and the Board of Trustees Office to ensure smooth coordination of engagement for leadership with the university's donor and alumni communities in a fast-paced environment.
This support position is responsible for providing programmatic and administrative support on various development and alumni relations activities. Core responsibilities include managing the leadership request process for the division, coordinating with the Office of the President, the Office of the Provost, and the Board of Trustees Office on scheduling and logistics, and overseeing the briefing process as well as travel planning and support. This position may serve as the primary point of contact for select events, such as the President's Roundtable Dinners, and assist with the planning, execution, and follow up. The Project Coordinator,
OVP will also track activity related to the Vice President's portfolio, including proposals, outreach, visits, and follow- up. In addition, the Project Coordinator,
OVP will draft a variety of communications to UA and GW staff, donors, volunteer leaders, and other internal and external constituents and work closely with colleagues across the division to accomplish strategic objectives related to UA's goals.
The position requires a high level of judgment and discretion, the utmost attention to detail, and excellent customer service and organization, as well as the ability to multitask and prioritize. The position also requires a steadfast commitment to confidentiality.
Job Responsibilities:
- Manage the division's requests for leadership participation in events and meetings, including intake of requests, coordination with the Office of the President, the Office of the Provost, and the Board of Trustees Office on scheduling and logistics, and the briefing process.
- Assist in the creation and management of key informational documents such as briefing materials, proposals, reports, and correspondence.
- Internal meeting and event management, including making facilities and catering arrangements, disseminating materials, and recording minutes for All Staff Meetings and Retreats.
- External event support, including tracking RSVPs, and assisting with executive and follow-up.
- Tracks activity related to the Vice President's portfolio and ensures necessary follow-up and related tasks are completed on schedule.
- Updates fundraising moves in database on behalf of the Vice President.
- Helps plan travel for the President and Vice President, including coordination with colleagues across the division and logistics.
- Provide support to the Office of the Vice President and assists with its meeting and calendar logistics, reporting and analysis, and data upkeep. Manages University Advancement wide calendars.
- As bandwidth allows, provide administrative support to other areas of University Advancement.

| Minimum Qualifications: |
Qualified candidates will hold a high school diploma/
GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

- At least one year of professional experience, preferably in a development or academic setting.
- Demonstrated ability to independently plan, organize and work on multiple projects simultaneously; ability to make effective timely decisions and meet deadlines in a dynamic and ever-changing environment.
- Aptitude for developing and streamlining processes to maximize efficiencies. Exceptional writing and editing skills.
- Familiarity with standard university protocol and processes. A strong understanding of event and meeting planning.
