Join a team of professionals where you will be responsible for supporting and adding value to TURBOCAM office operations. This resourceful team player effectively works with all levels of staff and contributes to the Office Management Team (OMT) initiatives while empowering employees to seek assistance from our talented team. Primary contributions include executive support to senior leaders, meeting support, event planning, travel coordination as well as a variety of technical administrative services. Success in this role requires that established TURBOCAM guidelines are followed while maintaining cost effectiveness and excellence. Come Build with Us:
- Provide direct administrative support to General Manager(s) of Turbocam Business Unit(s) including but not limited to: actively attend meetings, take notes, listen for action items and follow up as necessary, collect and prepare key information to make available as needed.
- Take an interest in the vision and values, as well as the day-to-day operations of the business unit(s).
- Proactively ensure administrative support services are met including but not limited to shared documents and records organization as well as proactive travel planning and arrangements, schedule and calendar support as necessary.
- Coordinate business related meetings and events including but not limited to: venue selection, space set up, clean up, and A/V needs.
- In collaboration with other members of the OMT, track and manage meeting, event and travel spend and provide relevant budget updates to the Director of Administrative & Communications Support.
- In collaboration with other members of the OMT, develop and maintain mutually beneficial relationships with venues and catering providers; ensure the quality and safety of all food products.
- In collaboration with other members of the OMT, enlist and enable teams of employee volunteers to support meetings, events and special projects as necessary.
- In collaboration with OMT and department Director execute company responsibilities as related to non-company functions on company property.
- Serve as back up support for all aspects of domestic and international travel including passports, visas and petitions for TURBOCAM.
- In collaboration with department Director and similar roles perform research and maintain active/current knowledge and awareness of customer contract expectations/relationship relevant to the business unit(s).
- Perform other duties as necessary.
Bring Your Expertise:
- High school diploma or GED equivalent.
- Bachelor's degree preferred.
- 3 - 5 years' experience in an office environment with proven administrative support skills; meeting and event planning and travel coordination preferred.
- Proficient level in the use of MS Office: Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
- Experience with audio/video demonstration technologies.
- Able to work within budget guidelines.
- Motivated self-starter, ability to work independently and as a team member.
- Creative with ability to consider varying perspectives and ideas.
- Ability to foster positive interpersonal relationships and possesses excellent communication and listening skills.
- Excellent coordination, follow through and organization skills.
- Able to keep information confidential.
- Must possess valid driver's license from his/her state of residence and reliable transportation based on travel to other facilities.
- Must be able to lift 25 lbs. in a safe manner.
- Must have range of motion sufficient to permit climbing stairs, walking, standing, stooping and crouching for extended periods while performing duties.
