Supply Manager (Program Assistant) CTD Academic Summer Camp at Northwestern University The temporary Program Assistant (PA) Supply Manager works closely with the summer program's administrative staff to ensure smooth and efficient operations. This role oversees the inventory, ordering, tracking, and distribution of all program supplies as directed by the Summer Program Coordinator and collaborates regularly with other members of the program team and temporary Office Manager. It is an active, highly visible position that requires energy, flexibility, and strong attention to detail. Employment Dates and Compensation
Full-time work: April 29 - August 14, 2025, June 28 and July 19 are required - Hours: Monday - Friday, generally 7:30am - 4:00pm (hours may vary)
Compensation: $22.00 per hour; 37.5 hours maximum per week; one-hour unpaid break daily
Qualifications
Applicants must demonstrate a positive attitude, superior organizational, communication, and customer service skills, attention to detail, and creative problem-solving abilities. Experience with budget execution, financial reporting, and supply purchasing required; inventory management and distribution experience preferred. Previous office or clerical experience required, with additional experience in a fast-paced environment highly preferred. - Must be able to lift 40+ pounds and traverse at least one mile with or without accommodation.
- Computer proficiency, including data entry and data management, is required.
- A valid U.S. driver's license is required.
- A bachelor's degree is preferred.
General Responsibilities
- Learn, implement, and adhere to CTD and Northwestern policies, procedures, and staff conduct expectations as outlined in the staff handbook and by administrative staff.
- Maintain accurate recordkeeping for supplies, inventory, and program-related data to ensure readiness and compliance with CTD and NU policies.
- Oversee supply management tasks, including inventorying, ordering, organization, distribution, and collection across multiple program sites.
- Complete all financial documentation related to supply ordering, including managing receipts, spreadsheets, and reports as required.
- Collaborate effectively with CTD administrative and program staff to complete program preparations and assigned responsibilities.
- Provide general office support and assist with administrative tasks, including those requiring the use of a university vehicle.
- Organize and prepare pre- and post-program projects, including assisting with moves to on- and off-campus sites.
- Lift and organize 40+ lbs. of supplies, including boxes, crates, and bins, to support workspace organization.
- Supervise and coordinate a staff of up to 8 Office Assistants in collaboration with CTD administrative staff.
- Safeguard confidentiality of information regarding children, families, staff, and internal office discussions.
- Uphold and promote the CTD Honor Code among staff and students.
- Assume program-related responsibilities as reasonably requested by CTD directors and administrators.
