We are seeking a highly organized and tech-savvy Administrative Support Specialist to join our dynamic office team. The ideal candidate thrives in a fast-paced environment, has strong computer and software skills, and is committed to providing high-quality administrative support. Key Responsibilities:
- Prepare procurement, training, travel orders, vouchers, and other administrative documents.
- Manage office supplies, equipment, and publications; reconcile purchase orders.
- Review reports, correspondence, and management documents for accuracy and compliance.
- Develop or revise administrative policies and procedures to improve organizational efficiency.
- Compile and distribute reports on budgets, staff levels, program goals, and performance metrics.
- Create office correspondence, charts, graphs, reports, and presentations using appropriate software.
- Maintain and update information management systems, including forms, records, mail, directives, and publications.
- Coordinate office functions, respond to information requests, and provide administrative solutions.
- Perform routine calculations such as cost estimates, production rates, staff hours, and workload figures.
- Arrange staff meetings, reserve meeting rooms, and prepare meeting minutes.
- Manage the Office Director's calendar and schedule, including rescheduling appointments as needed.
- Review incoming correspondence and directives, taking appropriate action when necessary.
- Ensure timely responses to internal requests and compliance with organizational policies.
- May perform emergency operations duties as required by organizational needs.
Shift: Monday - Friday 8a-4:30p
