Horseshoe Bay Resort | Purchasing Department

We are seeking a highly detail-oriented and reliable individual to join our Purchasing Team as a Receiving Clerk. This role is essential for maintaining the integrity of our inventory and ensuring the seamless flow of goods required to operate our luxury resort.

Job Overview

The Receiving Clerk is responsible for the entire process of accepting and documenting goods delivered to the resort, ensuring compliance with resort standards and safety regulations, particularly concerning perishable items. This position requires strong organizational skills, attention to detail in record-keeping, and the physical ability to assist with unloading and distributing shipments.

Key Responsibilities and Essential Functions



  1. Inventory and Documentation Management


The clerk must maintain strict control over all incoming and outgoing goods and associated paperwork.



  1. Receipt and Verification: The clerk is responsible for accepting delivery of all goods on behalf of the resort, verifying the information on incoming packages against resort standards and purchase orders to ensure accuracy and compliance.
  2. Record-Keeping: Maintain comprehensive copies of all Purchase Orders and ensure that all incoming invoices are properly documented. The clerk will also maintain a detailed shipping log as a record of all package pick-ups.
  3. Package Processing: Accurately record and identify the contents and count of all incoming and outgoing packages.
  4. Supply Management: Maintain an organized inventory of shipping materials and supplies necessary for department operations.
  5. Logistics and Distribution



    The clerk facilitates the efficient movement of products from the dock to the end-user department.



    1. Shipping Assistance: Assist in the unloading of incoming shipments and expedite the delivery of goods to the proper locations across the resort.
    2. Safety and Temperature Control: Ensure that perishable items are handled promptly and maintained at a safe temperature until they are delivered or stored.
    3. Internal Communication: Notify resort departments immediately upon the receipt of their packages and store unclaimed packages securely in the designated area until they are picked up.
    4. Team Collaboration: Work directly with the receiving team to ensure that all packages and goods are expedited efficiently.
    5. Mail Handling: Facilitate the pick-up of associate mail during posted hours.
    6. Safety and Compliance



      The clerk must adhere to all resort safety and procedural guidelines.



      1. Physical Demands: The role requires frequent lifting and/or moving up to 50 pounds, standing and walking for most of the day, and repetitive actions such as reaching, bending, and climbing.
      2. Safety Standards: Adherence to the uniform requirement, including slip-resistant, closed-toe, and heel footwear, is mandatory. The clerk is encouraged to complete the OSHA Hazard Communication Standard training and certification.
      3. Loss Prevention Support: Assist with the key control process in Loss Prevention when requested by the Loss Prevention supervisor.

      The successful candidate must meet the following criteria:



      • Age and Licensing: Minimum age requirement is 18 years old (21+ if driving a licensed Resort vehicle is necessary).
      • Driving: A valid driver's license and the ability to meet the requirements of driver insurability as established by the insurance carrier are required.
      • Physical Ability: Must be able to perform the physical and mental requirements of the job, including specific vision abilities for inspection and record-keeping (close vision, distance vision, depth perception, and focus adjustment).
