Position Summary
Graduate Studies seeks to hire a Supervisor, Academic Advisement to manage our Program Advancement and Completion (PAC) team. The PAC team is comprised of 4 employees responsible for managing graduate students' path to graduation. The team supports graduate students in the College of Arts and Sciences, College of Architecture + Planning, College of Education and Human Sciences, School of Engineering, College of Fine Arts, Health Sciences (non-MD), Interdisciplinary programs, College of Nursing, College of Pharmacy, College of Population Health, and University Libraries and Learning Sciences. This position has two primary responsibilities. The first responsibility is to manage and oversee a team of four staff members who perform distinct yet interrelated functions that collectively support the successful graduation of students earning master's degrees, doctoral degrees, or graduate certificates. The second responsibility is to act as a backup for individual PAC team staff when needed. The successful candidate will work closely with the PAC team and the Manager of Administrative Operations to provide courteous and professional customer service to all the units Graduate Studies supports. A successful candidate must demonstrate the ability to communicate effectively both in person and through digital means, have excellent customer services skills, and pay close attention to forms, policies, and procedures.
Graduate Studies is the central academic administrative unit for graduate education at the University of New Mexico. We work in partnerships with academic departments and administrative units across campus to promote the quality of our graduate programs, enhance student success, and ensure broad access to graduate education. Graduate Studies provides a variety of student support services, financial assistance, and program support for graduate programs across the university. The selected candidate will manage the PAC team in addition to providing advising support for faculty, staff, and students from across the university on the submission of academic forms while enforcing policy governing graduate education.
Duties include:
Supervise the PAC team which includes knowledge of human resource policies, performance evaluation, employee training, job duty assessment related to work allocation, and problem resolution.
Provide consultation, guidance, and advisement to students and departments about extension of graduation deadline, extension of the courtesy policy, and review and awarding of retroactive degree requests.
Process, verify, and approve the academic documentation for degree completion including review of grade replacement requests and requests to extend incompletes.
Provide consultation, guidance, and advisement to students and departments as a backup for faculty committee approvals, policy interpretation regarding committee composition, processing of program of studies and application for candidacy forms, review and approval of announcement of exam and result of exam forms, and the addition and removal of students from the graduation list.
Ability to collaborate with team members to develop comprehensive training materials for Graduate Studies staff and for support of graduate students, staff, and faculty working together to ensure graduation.
Process, verify, and approve the academic documentation for completion of all types of masters, doctoral level degree, terminal MFA degrees, and graduate certifications supported by Graduate Studies.
Attend meetings and participate with leaders of Graduate Studies regarding the development of advisement materials. Conduct advisement sessions or workshops with graduate students, staff, and faculty to assist with the processing of forms for graduation. See the Position Description for additional information.

Minimum Qualifications
Bachelor's degree; at least 3 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Demonstrated experience effectively managing and leading a diverse team, including setting clear goals, delegating responsibilities, evaluating performance, and fostering professional growth among staff.
Proven ability to address and resolve conflicts constructively, utilizing strong interpersonal, communication, and mediation skills to build consensus and maintain positive working relationships.
Commitment to cultivating and maintaining a healthy, inclusive, and collaborative work environment, promoting employee well-being, team cohesion, and a culture of respect and accountability.
Possess knowledge about graduate academics, graduate programs, and the ability to analyze and solve problems using independent judgement in a higher education setting.

Proven ability to interact with students, faculty, and staff in a courteous, dependable, and professional manner.
Strong customer service orientation with a demonstrated commitment to delivering a positive and supportive experience for students and campus partners.
