Job Description

If you're an organized powerhouse who thrives on juggling calendars, coordinating high-profile meetings, and managing complex projects-this is the role for you.

We're looking for someone who can confidently support executive leadership, keep things running smoothly behind the scenes, and serve as the point person for board activities, donor engagement events, and internal initiatives. This is not your average desk job. You'll interact regularly with board members, donors, physicians, and community leaders-so bring your A-game in professionalism, communication, and discretion.

What You'll Do:

Executive-Level Support:

  • Own the calendar like a boss-coordinate schedules, resolve conflicts, and keep everything running on time

  • Be the gatekeeper-handle calls, emails, and visitors with grace and professionalism

  • Master the meeting-schedule, plan, and manage logistics from AV needs to snacks, and follow through on minutes and action items

  • Prepare polished, high-level documents, presentations, and correspondence

  • Coordinate complex travel-every itinerary, every detail

  • Handle expenses and reimbursements like a pro, and track biweekly time reports for staff

  • Keep everything in order with seamless records and file management

Project Management & Coordination:

  • Take the lead on all logistics for Foundation Board and committee meetings, subcommittee gatherings, and other board-related events

  • Prep materials, manage RSVPs, liaise with speakers, and make it all look effortless

  • Attend meetings with leadership and help keep projects moving from behind the scenes

  • Plan and execute high-touch meetings and tours with major donors, vendors, and visiting execs

  • Support and drive cross-functional projects and initiatives that build stronger collaboration and streamline operations

Team Support & Special Projects:

  • Become a database and finance process guru-ready to jump in and assist where needed

  • Help plan and participate in major fundraising events like "For the Love of KC" and "Golf Baby Golf"

  • Collaborate closely with departments across the organization to support various initiatives

  • Leverage tech tools to prep and manage internal and external meetings

  • Use strong judgment to triage inquiries and issues from patients, staff, and visitors

  • Provide backup support to other UHF leaders as needed

What You Bring to the Table (Minimum Requirements):

  • Bachelor's degree

  • At least 7 years of executive assistant and/or advanced administrative support experience

  • Proven ability to manage small but complex projects with multiple players

  • Excellent written and verbal communication skills, and a polished, professional presence

  • Strong interpersonal skills-you can easily connect with everyone from patients to board members

  • Ability to work independently, juggle multiple priorities, and stay calm under pressure

  • Organized, efficient, and highly detail-oriented

  • Tech savvy: Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook, Visio)

  • Comfortable doing research, basic bookkeeping, and transcription

  • Discreet with sensitive information and skilled in navigating complex issues tactfully

  • Eager to contribute to a culture of quality, safety, and inclusion
