Job Summary:

The Administrative Assistant 4 directly supports the Assistant Vice President for Campus Inclusion and Community at Northwestern University, ensuring the efficient and effective operation of the office by providing high-level administrative support.

The Administrative Assistant manages critical day-to-day functions for the department. Key reasons for the position:

  • Operational Support: Manages scheduling, correspondence, travel, and meeting logistics.
  • Confidentiality and Discretion: Handles sensitive information related to the department.
  • Coordination: Supports cross-departmental collaboration and event planning.
  • Efficiency: Streamlines administrative processes to enhance productivity and responsiveness.

Pay Range: The salary range for the Administrative Assistant 4 position is $26.85 to $29.28 per hour, depending on experience, skills, and internal equity.

Principal Accountabilities:

Coordination 30%

  • Manages supervisor's and/or department calendar.
  • Manages complex scheduling arrangements involving multiple parties and conferences, travel, etc.
  • Sets up and cancels meetings based on knowledge of subject and attendees.
  • Coordinates events and activities.
  • Ensures that all logistics such as advertising, registration, speakers, travel arrangements, venues, catering, technology, etc. have been completed.

Documents and Databases 15%

  • Based on analysis, research, and/or knowledge of subject matter, professional field and/or topic, prepares and compiles correspondence, reports, etc.
  • Creates and/or maintains complex spreadsheets and/or databases and/or reports, queries, charts, etc. based on supervisor's information objectives.

Accounting 15%

  • Processes accounting transfers, appropriation and funding changes, deposits, etc.
  • Completes journal entries.
  • Creates and monitors budget statements.
  • Verifies that charges are accurate and posted to the appropriate account.
  • Reconciles accounts.
  • Resolves discrepancies and/or outstanding encumbrances.

Supervision 15%

  • Coordinates work of temporary employees, including work-study students.

Contacts 5%

  • Represents the department, program or project with various levels of personnel both internally and externally managing and facilitating confidential and/or critical information.
  • Responds to unanticipated and complex issues.

Website 5%

  • Organizes information in ways that promote and encourage use of site.
  • Gathers information regarding programs, events, etc.
  • Creates, writes, edits and posts program information and summaries to website.

Miscellaneous 15%

  • Performs other duties as assigned.

Minimum Qualifications:

Education and Experience:

  • A high school diploma or equivalent required.
  • 5 years of administrative support or other relevant experience required.

Competencies:

  • Advanced knowledge of word processing, spreadsheet, email, and database software programs is required.
