The Role The Executive Admin to the CEO is a critical role that provides high-level administrative support to the Chief Executive Officer (CEO) of the company. This position requires exceptional organizational skills, attention to detail, the ability to handle sensitive and confidential information, and the need to positively reflect the CEO, his office, and the culture of the company. The Executive Admin serves as a key liaison between the CEO and various internal and external stakeholders and plays a pivotal role in maintaining efficient operations within the executive office. The position requires thorough knowledge of company operations, policies, and procedures, as well as the ability to exercise judgment within generally defined practices and policies. Responsibilities
- Calendar and Schedule Management:
- Manage the CEO's calendar by scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize meetings and events, ensuring the CEO's time is optimized.
- Anticipate scheduling conflicts and proactively resolve them.
- Communication and Correspondence:
- Act as the primary point of contact for internal and external inquiries directed to the CEO.
- Manage and prioritize incoming emails, letters, and other forms of communication.
- Draft and edit correspondence, reports, and presentations on behalf of the CEO.
- Meeting Coordination and Support:
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and distributing meeting materials.
- Assist in the preparation of presentation materials, reports, and other documents for meetings.
- Follow up on action items and ensure timely completion of tasks.
- Travel Arrangements:
- Arrange domestic and international travel for the CEO, including flights, accommodations, transportation, and visas.
- Prepare detailed itineraries and ensure all necessary arrangements are made.
- Confidentiality and Data Management:
- Use discretion and maintain a high level of confidentiality.
- Demonstrate the ability to exercise good judgment, evaluate alternative courses of action, work independently, and exercise professional discretion consistent with the organization's needs.
- Maintain and organize electronic and physical files, ensuring easy retrieval of information.
- Prepare and review documents, reports, and presentations as required.
- Relationship Management:
- Build and maintain effective relationships with key internal and external stakeholders.
- Liaise with other executives, department heads, and team members to facilitate effective communication and collaboration.
- Represent the CEO in a professional and personable manner.
- Special Projects and Initiatives:
- Support the CEO in various special projects, initiatives, and research assignments as required.
- Conduct research, gather data, and prepare reports on specific topics or issues.
Qualifications
- 10+ years advanced administrative support experience working with senior level executives within and outside the company, customers and visitors in a corporate setting in the C-Suite level, preferably in the Office of the Chief Executive.
- Must be able to quickly acquire a thorough knowledge of policies and procedures and understand the mission, vision, and culture of the organization.
- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, including exceptional attention to detail.
- Proficient in using various office productivity tools (e.g., Microsoft Office, Google Suite).
- Ability to handle confidential information with integrity and professionalism.
- Strong interpersonal skills and the ability to build relationships at all levels of the organization.
- Flexibility and adaptability to work in a fast-paced and dynamic environment.
- Professionalism, discretion, and a high level of personal integrity.
Education
- Community College, Vocational Training, Professional Certification or Equivalent.
- A bachelor's degree is preferred.
