The Role

Provide high-level administrative and project support to the Managing Director, Major Events, ensuring efficient coordination across scheduling, communications, reporting, and event preparation. This role is pivotal in supporting operational excellence, enhancing internal alignment, and maintaining strong relationships with stakeholders across the USTA and external partners.

    Manage and prioritize the Managing Director's calendar, scheduling internal and external meetings, travel, and conference calls with accuracy and discretion.

  • Coordinate and prepare briefing materials, agendas, meeting notes, and presentation decks for internal and external meetings.

  • Track key project deliverables to ensure deadlines are met and documentation is maintained across Major Events and Pro Circuit activities.

  • Support the preparation of reports, budget summaries, and board materials in collaboration with USTA departments.

  • Serve as the primary point of contact for correspondence, ensuring timely, professional communication with internal stakeholders, event partners, and governing bodies.

  • Coordinate logistics for leadership meetings, workshops, and site visits (both domestic and international).

  • Assist with expense reporting, invoice processing, and vendor management.

  • Maintain and organize shared files, databases, and event tracking documents to support cross-departmental communication.

  • Contribute to the planning and coordination of special projects, including the Davis Cup, Billie Jean King Cup, and other major events.

  • Maintain confidentiality and professionalism when handling sensitive organizational and personnel information.

  • Perform other duties as assigned.

Who You Are

  • Minimum of 5 years of administrative or executive support experience; background in sports or events preferred.

  • Strong organizational and time-management skills with the ability to manage multiple priorities effectively.

  • Exceptional written and verbal communication skills with a polished, professional demeanor.

  • High proficiency in Google Workspace and project management platforms (e.g., Monday.com).

  • Strong attention to detail with the ability to anticipate needs proactively.

  • Proven ability to handle confidential information with discretion.

  • Collaborative team player with a service-oriented mindset and positive attitude.

What We Offer

The hourly rate for this position is $20.00 per hour. This is a temporary, part-time position of up to 28 hours per week for approximately 3 months. The role follows a hybrid schedule and requires being in the office at least three days per week.
