Job Summary |
The Front Desk Assistant will be responsible for performing duties to support daily business functions and operations for the executive front office in the School of Behavioral and Brain Sciences (
BBS). This position will provide outstanding customer service to the campus community by greeting visitors, answering emails, phone calls, and in-person inquiries in a timely and professional manner.
This position is 100% on-site and in-person.
This position reports directly to the Executive Assistant to the Dean for the School of Behavioral and Brain Sciences (
BBS). |
Minimum Education and Experience |
High school graduate or equivalent. A minimum of six months of office and/or customer service experience. |
Preferred Education and Experience |
Preferred Education and Experience
- Experience in higher education, administrative roles preferred but not required.
- Experience with PeopleSoft is preferred.

Essential Duties and Responsibilities |
Duties & Responsibilities:
The essential duties and responsibilities include but are not limited to:
Office Operations
- Open and close the office daily during standard business hours (Monday-Friday, 8:00 AM to 5:00 PM).
- Answer incoming calls, greet guests, and direct in-person inquiries to appropriate personnel.
- Receive and respond to inquiries via shared email inboxes.
- Collect and distribute mail daily.
- Maintain office supply inventory and reorder as needed.
- Maintain break room and copy room, ensuring supplies are stocked and equipment is functioning.
Administrative Collaboration
- Serve as backup for other administrative roles, including Facilities Liaison and Dean's Executive Assistant.
- Assist with large print requests and coordinate large mailings.
- Assist with requests for promotional items and monitor inventory.
Event & Calendar Management
- Assist with publishing BBS events to internal and external Comet Calendars.
- Assist with planning and execution of events, activities, commencement, conferences, and meetings for faculty, staff, students, and the school.
- Schedule meetings and events using shared Outlook calendars.
- Maintain Sr. Director of Finance & Administration's calendar.
Other Duties
- Perform additional projects and responsibilities as assigned.
Knowledge, Skills & Abilities:
- Detail oriented with the ability to multi-task, prioritize, and complete tasks within deadlines.
- Excellent verbal and written communication skills.
- Excellent customer service skills
- Ability to work both independently and cooperatively with others.
- Ability to work in MS Office Suite (Outlook, Excel, Word, PowerPoint) is a must.
- May need to lift (up to 50 lbs) for mail, inventory, and event setup.
