BASIC PURPOSE:
The Branch Lead supports daily branch operations by assisting with staffing coordination, tracking key performance metrics, and providing administrative oversight to site coordinators. This role serves as a resource for clients, caregivers, and staff, ensuring smooth workflows, timely placements, and compliance with company processes under the direction of the Branch Manager.
ESSENTIAL FUNCTIONS:
- Monitor and track open orders, weekly placements, and key staffing metrics such as enrollments, increases, decreases, and caregiver assignment changes.
- Assist coordinators in filling open orders and ensuring all staffing needs are met promptly.
- Monitor staffing levels and communicate urgent coverage needs to the team.
- Forecast potential scheduling issues and work with management to address them.
- Oversee scheduling tasks, including home visits and in-office coverage, as assigned.
- Act as a point of contact for clients and caregivers, addressing routine questions, scheduling requests, and basic concerns.
- Support the timely placement of qualified caregivers and healthcare professionals.
- Provide daily operational direction to site coordinators and administrative staff as instructed by the Branch Manager.
- Organize and host weekly coordinator meetings to share updates and address challenges.
- Assist with training and onboarding of new coordinators on branch processes, systems, and compliance requirements.
- Maintain accurate records, documentation, and system notes in accordance with company standards.
- Monitor open unemployment claims, ensuring coordinators respond promptly and that employees are offered available work per policy.
- Support quality assurance efforts, including assisting with audits, compliance checks, and client satisfaction follow-ups.
- Prepare and submit weekly staffing and placement reports to the Program Manager.
- Review caregiver timecards for accuracy and coordinate with payroll to resolve discrepancies.
- Respond to employment verification requests, collaborating with payroll to confirm pay and rate details.
- Maintain a consistent on-site presence during scheduled hours unless otherwise approved.
- Perform other duties as assigned by the Branch Manager or Program Manager.
- All other duties as assigned.
QUALIFICATIONS:
- 3 years of staffing coordination, scheduling, recruitment, or administrative support experience; healthcare or homecare industry preferred.
- Familiarity with healthcare regulations, compliance requirements, and staffing processes preferred.
- Demonstrated ability to build and maintain positive relationships with clients, caregivers, and team members.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced, time-sensitive environment.
- Excellent communication skills (verbal and written), with strong interpersonal and customer service abilities.
- Attention to detail and accuracy when handling documentation, schedules, and payroll-related items.
- Effective time management and ability to multi-task while maintaining quality and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn new software systems.
Education: High School or equivalent required. Some college preferred; or any equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
