About the Role We are seeking a highly organized and service-oriented Project & Event Coordinator to support our dynamic team across two locations. This role blends project support, event planning, and stakeholder engagement to ensure smooth execution of internal programs, meetings, and initiatives. You'll be instrumental in managing logistics, documentation, and communication while delivering exceptional service to internal and external clients.
Onsite, Monday-Friday, 7:00 AM-3:30 PM Key Responsibilities * Coordinate and support large meetings, conferences, and onsite events, including setup and logistics. * Track attendance, manage documentation, and update processes in collaboration with stakeholders. * Create and maintain project tools such as templates, budgeting tools, and deliverable checklists. * Draft and edit project documents including scope definitions, risk assessments, and RFPs. * Provide full-spectrum project support-from clerical tasks like scheduling to higher-level functions like budget tracking and process improvement. * Liaise with catering, AV, facilities, and security teams to fulfill event requirements. * Use event reservation systems to book and track events, including signage management. * Distribute Banquet Event Orders (BEOs) and ensure alignment with client expectations. * Deliver superior customer service through email, phone, and in-person interactions. * Independently resolve requests that fall outside standard guidelines and prioritize space and support needs. Qualifications * 5+ years of experience in project coordination or event planning (preferred). * 2+ years in a customer-facing role. * Proficiency in Microsoft Excel and other computer systems. * Strong attention to detail and verbal communication skills. * Ability to work independently and collaboratively in a fast-paced environment. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
