POSITION

The Manager of Transfer Agent Back Office Operations is responsible for overseeing the daily activities of the back office team that manages relationships with financial intermediaries including broker-dealers, RIAs, banks, and other financial institutions. The team provides responsive support and resolves operational issues for CIT and mutual fund products. The manager ensures compliance with regulatory requirements, monitors workflows for efficiency, and maintains high service standards for internal and external stakeholders.

We currently operate in a hybrid working model, whereby you will be required to work in-office 3 days a week. We will be transitioning to 4 days a week in early 2026.

RESPONSIBILITIES



  • Operational Leadership

    • Oversee daily intermediary back office servicing activities, ensuring timely and accurate execution.
    • Ensure service models and workflows comply with established policies, procedures, and regulatory requirements.
    • Identify and implement process improvements to enhance efficiency and support a positive intermediary experience.
    • Communicate effectively with internal teams and external partners to resolve issues and maintain strong relationships.


  • Relationship Management

    • Serve as the senior point of contact for key intermediary back office relationships.
    • Manage onboarding and servicing of intermediary partners, ensuring smooth integration and ongoing support.
    • Maintain consistent communication and engagement with internal distribution partners.
    • Ensure timely and accurate communication of fund updates, operational changes, regulatory disclosures, and completion of operational questionnaires and fact sheets.
    • Provide after-hours support to intermediary back offices in response to project driven or business continuity events.


  • Operational Oversight

    • Manage a team responsible for oversight of transfer agent NSCC operations, including account establishment, trade execution, and issue resolution.
    • Partner with transfer agent, fund administration, legal, compliance, and risk teams to ensure adherence to regulatory standards.
    • Monitor benchmarks and SLAs to maintain service quality and drive continuous improvement.
    • Supervise daily report monitoring to ensure compliance with fund policies and compile monthly metrics for reporting to management and the fund board.


  • Sales & Distribution Support

    • Provide operational support to sales leaders by ensuring accurate and timely processing of intermediary requests.
    • Deliver insights and feedback from intermediary back office interactions to assist in product and service implementations.
    • Participate in industry events and forums to maintain operational knowledge and strengthen intermediary relationships.


  • Team Leadership

    • Manage, mentor, and develop a high-performing team focused on operational excellence.
    • Set performance goals, conduct reviews, and support professional development.
    • Foster a culture of accountability, collaboration, and client-centricity.


  • Intermediary Oversight

    • Manage the Intermediary Oversight Program, including SEC Rule 22c-2 monitoring, third-party audit assessments (SOC 1/FICCA), and fund board reporting.
    • Coordinate intermediary large trade notifications, settlement-day cash flow reporting, resolution of unexpected cash flow inquiries, and oversight of manual cash flow entries.
    • Manage put queue adherence and omnibus-to-plan reconciliations.
    • Oversee administration of intermediary contracts ensuring adherence to service models, fund policies, and regulatory requirements.
    • Manage timely system updates to support accurate fee calculations and payments per contractual and prospectus terms, including monthly 12b-1 and Shareholder Service Fee processing.
    • Monitor intermediary system access to client records and maintain the integrity of mutual fund data in DTCC's Mutual Fund Profile Service II database.




REQUIRED QUALIFICATIONS



  • 15+ years of experience in transfer agent operations, preferably in back office operations.
  • In-depth knowledge of mutual fund setups, operations, intermediary platforms, and ability to apply regulatory guidelines to operational processes (e.g., SEC, FINRA, NSCC).
  • Proven ability to lead operational teams and manager intermediary relationships.
  • Strong knowledge of transfer agency systems, intermediary data feeds, and CRM platforms, including SS&C suite of products.
  • Excellent communication, negotiation, and critical thinking skills.

  • Ability to communicate complex operational information clearly to diverse audiences, including senior leadership and external partners.
  • Experience managing operational budgets and resource allocation.
  • Highly organized and diligent, with a proactive approach to problem-solving.
  • Collaborative approach with a track record of growing in team-oriented environments.
  • Flexible and adaptable, with a positive attitude toward change and the ability to manage shifting priorities and workloads.


Base Pay Range: $145,000 - $165,000

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary bonus programs, or other annual or non-annual incentive or sales plans.)
