Posting Summary |
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking a Program Coordinator I. Reporting to the Assistant Director, this role is responsible for the strategic planning, organization, administration, and execution of the daily operations of programs offered or supported by the Office of Lifelong Learning. The focus of this role is on implementing a holistic approach that ensures the accessibility and impact of our services, while promoting the benefits of acquiring new knowledge, skills, and competencies throughout one's life.
This position is responsible for and not limited to the following:
- Manage the day-to-day programmatic, administrative, and technical activities
- Contribute to the strategic planning and execution of new programs and initiatives.
- Ensure programs and activities comply with university policy, identify and mitigate potential risks
- Work collaboratively with various campus units, academic centers, and Enrollment Services-including the Registrar's Office, Student Accounting, Financial Aid, and the One Stop-to meet programmatic goals and objectives
- Collect, analyze, and manage student data; maintain student databases; facilitate course registrations; monitor enrollment activity, and ensure student information and enrollment details are accurate and up to date
- Act as the primary liaison for both prospective and current students, ensuring clear communication and support throughout their engagement with the programs
- Design and execute comprehensive marketing campaigns aimed at increasing program visibility and interest. This includes performance tracking and analysis, as well as content creation for a range of channels such as email, social media, digital platforms, and traditional marketing
- Utilize clear communication and strategic targeting to effectively articulate the unique advantages of Rutgers University-Newark Lifelong Learning programs to specific audiences
- Coordinate and oversee the entire life cycle of advertising and design projects, from concept to final delivery to the University Communications and Marketing department and external vendors
- Employ strategic, data-driven assessments of industry trends and best practices to continuously refine marketing efforts and campaign strategies
- Optimize departmental websites to align with departmental goals and comply with the university's brand standards. Coordinate, design, and execute new website projects through to implementation
- Coordinate and execute all administrative and logistical aspects of the department's application portals and enrollment management systems. This includes maintaining and updating applications, applicant data, communications, and more to ensure a user-friendly experience for applicants and students
- Create instructional materials and training resources to aid system users, including applicants, current students, and staff
- Responsible for working directly with third-party application developers to troubleshoot technical issues, advocate for system enhancements, and oversee updates to the application portal to ensure optimal functionality

Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of program design and execution, coordination
- Requires a minimum of two years relevant experience in a program coordination, marketing, administrative function

Preferred Qualifications |
- 3 to 5 years of relevant experience preferably in higher education
- Experience in developing marketing and social media strategies geared towards high school and/or non-matriculated students
- Database design and management proficiency
- Experience in developing student engagement activities
- Ability to multitask and prioritize work in a fast-paced environment with relatively short turnaround time on program objectives and academic sessions
