In this role, you'll ensure our offices are safe, functional, and reflect our high-performance culture. The ideal candidate has experience managing both day-to-day facilities operations and long-term workplace initiatives in a dynamic, fast-paced environment. As Facilities Manager, you'll oversee workplace operations and play a key role in ensuring a smooth and professional office experience across all C3 AI locations. This requires strong organizational and leadership skills, a proactive mindset, and the ability to manage multiple priorities in a fast-paced environment. This is a full-time, on-site position based in our Redwood City, California headquarters. Responsibilities:
- Overseeing all aspects of workplace operations across C3 AI office locations, including headquarters and satellite offices.
- Managing the Facilities team, including office managers, front desk personnel, and building engineers.
- Ensuring each office environment remains clean, safe, fully functional, and in compliance with local regulations and lease obligations.
- Serving as the primary liaison with landlords, building management, and external vendors to resolve maintenance issues and coordinate services.
- Leading the planning and execution of office moves, reconfigurations, and space planning to support company growth.
- Working with the internal procurement team to manage vendor relationships, including sourcing, contract negotiation, and performance oversight for services like janitorial, security, and food & beverage.
- Supporting workplace systems, including ticketing platforms, office maps, emergency procedures, and employee resources.
- Developing and managing the Facilities budget, including forecasting, procurement, and expense tracking.
- Coordinating internal events and company-wide gatherings in partnership with cross-functional teams.
- Managing tenant spaces and their ongoing needs.
Requirements:
- Bachelor's degree with at least 3 years of experience in Facilities Management, Workplace Operations, or Office Management, ideally in a high-growth or tech environment.
- Proven track record managing multi-site operations and leading cross-functional workplace initiatives.
- Strong understanding of vendor management, lease compliance, and office infrastructure.
- Excellent communication, problem-solving, and project management skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams).
- Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams.
- Positive and professional attitude with the ability to adapt to changing demands.
- Ability to maintain confidentiality and interface with all levels of personnel.
Preferred Qualifications:
- Experience managing office build-outs, relocations, or large-scale facilities projects.
- Familiarity with triple-net leases and enterprise coworking partnerships.
- Experience with Coupa and/or budget management.
