Overview
The Chief of Staff / Business Analyst provides strategic and administrative support to the Regional Managing Director (RMD) of the New England Frist Citizens Wealth Management region. This high-impact role serves as a trusted partner to the leadership team, driving regional priorities, managing key projects, and ensuring effective execution of business operations. The position plays a pivotal role in facilitating communication, coordination, and collaboration across internal teams and external partners, including First Citizens Bank and Silicon Valley Bank.
Responsibilities
Leadership & Administrative Support
- Attend all regional wealth leadership meetings; prepare agendas, take detailed notes, and ensure timely follow-up and project tracking.
- Coordinate all New England Wealth leadership meetings and manage recurring touchpoints with team leads.
- Prepare PowerPoint presentations, reports, and briefing materials for internal and external meetings.
- Manage the RMD's calendar, coordinate internal meetings, arrange travel, and handle scheduling logistics.
- Serve as the go-to resource for wealth consultants, private bankers, and regional staff for support, updates, and operational needs.
Project Management & Operations
- Track key initiatives, monitor critical business objectives, and maintain dashboards and project plans.
- Manage new hire onboarding processes including hardware/software setup, business cards, access credentials, and general orientation.
- Oversee posting of job requisitions and coordination of new hire announcements.
- Coordinate monthly business reporting including sales reports, client onboarding letters/gifts, referral trackers, and pipeline updates.
Event & Meeting Coordination
- Plan and coordinate internal and client-facing events, working closely with marketing on invites, save-the-dates, and guest management.
- Reserve meeting and conference rooms, coordinate AV setup, and manage event logistics.
- Track event-related activities on the regional wealth calendar and maintain client engagement tracking.
Facility & Office Management (Boston Market)
- Serve as liaison for all corporate building communications and facility-related issues in the Boston office.
- Coordinate supply ordering, vendor management, bill payments, and general office administration.
- Handle all facility and service requests in coordination with First Citizens Wealth corporate services.
Sponsorships & Community Engagement
- Manage all sponsorship and charitable contribution requests for the New England Wealth region.
- Maintain tracking systems and reporting tools for contribution approvals, payments, and regional engagement impact.
Cross-Functional Collaboration
- Act as liaison on behalf of the RMD with internal partners across lines of business including First Citizens Bank and Silicon Valley Bank.
- Collaborate with internal departments such as HR, IT, Compliance, and Marketing to support regional execution and alignment.
Qualifications
Bachelor's Degree and 0 years of experience in Analytics, or Operations, or Support OR High School Diploma or GED and 4 years of experience in Analytics, or Operations, or Support Preferred Qualification:
- Experience in financial services, consulting, executive support, or project management.
- Strong organizational and multitasking skills with a high attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint); familiarity with CRM platforms and reporting tools preferred.
- Ability to manage confidential information and exercise discretion.
- Team-oriented, proactive, and solution-driven approach to challenges.
