Overview:
The Events Team at Advisor's Excel is looking for an Events Coordinator. If you have experience planning events, are excited to work with a fast-paced and innovative team, and are passionate about creating excellent experiences, this might be the role for you!
The Events Coordinator supports the delivery of exceptional event experiences for our financial advisor clients across the country. This role provides day-to-day operational and administrative support to the Events team, VP of Events, and Chief Strategy Officer. The ideal candidate thrives in a fast-paced, team-first environment, is guest-facing, and takes pride in delivering polished, on-brand events.
You'll help coordinate a range of events-from repeatable, in-house training sessions (~40 attendees) to large-scale offsite conferences (~500 attendees). You'll also collaborate with vendors, VIP clients, and teammates across departments to bring our events to life.
What you'll do:


  • Coordinate all aspects of advisor visits, including travel and lodging arrangements, personalized gifting, and curated experiences
  • Support logistics for assigned in-person and virtual events, including registration setup (often in Cvent), agenda building, travel coordination, event check-in, venue layouts, and post-event reporting
  • Help manage event execution in collaboration with venues, vendors, and internal teams-ensuring accurate setup, vendor delivery, AV needs, and on-site support
  • Assist with virtual event coordination, including invitation list building, registration, and communication with both attendees and internal teams
  • Interact with external vendors and high-profile clients in a polished, professional, and guest-focused manner
  • Track budgets and related expenses are tied to your responsibilities, including event supplies and logistics
  • Manage and maintain inventory of event supplies; recommend and source replacements as needed
  • Partner closely with a 15-person Strategy & Events team, supporting event planners and senior leaders with miscellaneous coordination tasks
  • Other duties assigned by Events leadership


Experience you'll bring:


  • 1+ year of experience in events, hospitality, or administrative coordination strongly preferred
  • Excellent time management, organizational, and multitasking skills-able to stay calm and effective under pressure
  • Clear, confident verbal and written communication skills-able to work with a range of personalities, from teammates to VIP clients
  • Comfortable using Microsoft Office Suite (especially Word, Excel, and Outlook)
  • Familiarity with systems like Cvent, Salesforce, or other project/event platforms is a plus
  • Strong team player with a willingness to learn, take initiative, and support colleagues at all levels
  • Self-motivated, dependable, and energized by supporting meaningful, well-run experiences
