Job Summary:

The Department of Medicine (DOM) is seeking a Health Professions Education Coordinator to join our Education team. This position will work closely with faculty and staff, primarily in the Division of Geriatrics and Gerontology and the Madison VA Geriatrics Research Education and Clinical Center (GRECC), to manage learning activities and rotations for medical students, residents, and fellows.

Under the direction of the Assistant Director of Education, the Coordinator will coordinate key activities across the continuum of medical education. They will proactively support medical students, residents, and fellows, and participate in cultivating a culture of support as learners and trainees develop their skills. The individual hired will assist staff and faculty leadership in the development and continuous improvement of learning activities and educational materials. The Coordinator will manage the scheduling of learner activities for required Geriatrics rotations, and they will have a lead role in organizing educational events and conferences, such as a weekly Geriatrics Fellowship Core Lecture series. The incumbent will develop, track, and monitor training needs and outcomes for each learner involved in Division and Madison VA GRECC initiatives, including distributing and collecting formative and summative evaluations for trainees. In conjunction with the education team, they will develop grant proposals and education research projects that align with GRECC and Geriatrics educational programs. They will also assist faculty and staff in preparing required reports and in developing and maintaining technology and other innovations to support educational programming.

This position interfaces regularly with students, faculty, trainees, and other staff in the DOM, the Division of Geriatrics and Gerontology, and the School of Medicine and Public Health. The position requires someone who is self-directed with a high degree of professionalism, outstanding organizational skills, attention to detail, excellent verbal and written communication skills, flexibility, and the ability to prioritize multiple competing deadlines.


Responsibilities:
Coordinates and contributes to the development and implementation of the administrative activities of a health professions program as outlined in accreditation program requirements and other regulatory agencies. Must utilize fundamental knowledge of these requirements to manage workflow components of the administrative and professional responsibilities for the program's learners while serving as the primary liaison between program or course directors, learners, clinical and basic science teaching faculty, institutional offices, and affiliated teaching sites concerning program matters. Strives to create a welcoming, equitable, and inclusive work environment.

  • 10% Maintains a thorough understanding of accreditation program requirements, regulatory requirements, and hospital/clinical setting and program policies to ensure accreditation and compliance with regulatory bodies and pertinent policies
  • 5% Contributes to the design, development and implementation of curriculum, evaluations and both computer-based and performance-based assessments
  • 25% Schedules evaluations, assessments, and teaching sessions, and creates and maintains the academic year calendar and/or clinical rotation schedules
  • 5% Maintains accurate records of the curriculum, evaluations, and participation
  • 5% Orients department and affiliate site coordinators and teaching faculty to curriculum, policies, and logistics
  • 10% Serves as the primary contact for the program, liaising with those directly associated with the program, institutional offices, and affiliated teaching sites, in and out of the state of Wisconsin
  • 20% Serves as resource to advise learners of program/institutional policies and procedures
  • 20% Assists with organizing and coordinating recurring lecture series, educational conferences and other related events and programs

Qualifications:

Required:
- Proficient in Microsoft Office Suite and video conferencing platforms.
- At least one year of experience providing administrative support

Preferred:
- Experience in adult education or medical education administration or related field.
- Experience with event or meeting planning and coordination.
- Experience managing projects or educational programs.


Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.


Appointment Type, Duration:

Terminal, 24 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding


Salary:

Minimum $60,000 ANNUAL (12 months)

The starting salary for the position is $60,000 but is negotiable based on experience and qualifications. University sponsorship is not available for this position, including transfers of sponsorship and TN visas. The selected applicant will be responsible for ensuring their continuous eligibility to work in the United States (i.e. a citizen or national of the United States, a lawful permanent resident, a foreign national authorized to work in the United States without the need of an employer sponsorship) on or before the effective date of appointment. This position is currently scheduled to be a 2-year appointment and will require eligibility to work during the length of the appointment.
