Job Summary
The College of Veterinary Medicine seeks candidates for an Academic Administrative Support Associate position to provide administrative and general clerical support within the Department of Pathobiology with responsibility for a broad variety of office and project support duties and tasks. These responsibilities will include budget monitoring and tracking, expense voucher processing, inventory of departmental equipment, as well as other tasks as assigned.

The Department of Pathobiology's nationally and internationally recognized faculty enrich the educational experiences of students and residents through cutting-edge research in areas such as infectious disease, bio-detection, cancer biology, molecular therapy, vaccinology, public health and applied diagnostics.

Essential Functions

  • Performs multiple duties which are a mix of administrative and clerical in nature, which may include, but are not limited to data gathering, data management, correspondence, calendar management, event scheduling, registration, mail distribution, answering the phone, website maintenance, and purchasing/ordering supplies.
  • Provides budget tracking and monitoring, payroll processing, travel/expense voucher processing, as well as other expenditure processing.
  • Advises faculty, staff, and students of standard policies or procedures.
  • Acts as a liaison to other departments, clients, and students on behalf of manager, director, or department head.
  • Acts as point of contact for purchasing or vendor/outside agencies.
  • May perform some administrative duties which may include, but are not limited to budget coordination, human resources administration (beyond payroll entry), recruitment coordination, preparation of reports/documents/presentations, or coordination of complex projects or events.

Minimum Qualifications


Minimum Qualifications
Level I: High school diploma or equivalent plus 2 years of experience in clerical and administrative support services.

Level II: High school diploma or equivalent plus 4 years of experience in clerical and administrative support services.

Substitutions allowed for Experience:
Degrees accepted in lieu of experience, at a rate of one-year relevant education per one (1) year of required experience. (Example: 4 years of education = 4 years of experience)
