- The Assistant for Purchasing provides administrative and purchasing support for client's procurement team.
- Responsibilities include performing general administrative functions, including reception, special projects, and reporting functions.
- Performs standard data entry; queries Great Plains data and manipulates and analyzes data for various purposes.
- You are the first point of contact for the Procurement team and act as reception for the entire building, greeting visitors, interacting with vendors, and providing front office support, including answering phones, distributing mail, and updating building boards.
- The position prepares routine and non-routine reports for various types of analysis, reporting, or billing purposes; maintains the database in an accurate, timely fashion and stores or retrieves information as requested or as is otherwise necessary.
- Compares data entered with source documents or re-enters data in verification format on screen to detect errors.
- Deletes incorrectly entered data and re-enters correct data.
- May compile, sort, and verify the accuracy of data to be entered.
- The incumbent develops, maintains, and updates the filing system as assigned and regularly performs confidential clerical functions.
- As directed, prepares vendor purchase orders; sends POs to vendor.
- Ensures each sent PO has an order confirmation from the vendor and follows up with vendors when they are missing.
- Edit's PO's as needed or directed.
- Files POs and order confirmations.
- Maintains and scrubs vendor data to ensure information is accurate.
- The incumbent works independently on special projects as requested.
- Disseminate information, coordinate mailings, place orders, compile information, and prepare reports.
- As directed, send reports, approved POs, and other correspondence to vendors.
- The assistant collects vendor invoice and packing list data and communicates with the shipping companies to ensure parts ship on time.
- These invoices, packing lists, and shipping documents are kept in organized files.
- Maintain a shipping calendar in Outlook with packing lists for the receiving department to pull for incoming overseas deliveries.
- Work with minimal supervision while performing duties.
- Performs other related duties and may assist other departments as assigned.

Required Skills / Qualifications:
- High School Diploma or GED.
- Minimum of 3 years of administrative experience.
- Minimum of 3 years experience with purchasing or Great Plains software.
