As a Facility Services Support Administrator, you will be trusted to oversee various internal administrative and support services for the Facility Services group in association with the Facility Service Center. This position will support various aspects of the Facility Services department including MRO operations, Events & Activities coordination, Facility Services preventative maintenance inspections and reviews, while providing supplemental support to the Facility Service Center. Responsibilities include planning and coordinating the regular function of administrative needs, identifying problems, helping formulate solutions and implementing new approaches to streamline these services and make them more efficient. This role will coordinate with Facility Services management to contribute to the operational needs and strategic outcomes of the department at the Main Campus in Fort Worth, Texas.

In this role, a typical day will include:

Proved support to Facility Services MRO operation to include:

  • Effectively maintain inventory control program for the Facilities maintenance and repair department
  • Assist with locating, sourcing, and purchasing necessary MRO materials ensuring availability of parts and supplies for facilities operation
  • Process all receiving reports, returned goods, purchase orders in a timely fashion to prevent disruption to plant and accounting operations
  • Order inventory from vendors and suppliers and schedule shipment arrival times
  • Manage inventory by stocking and cataloging products accurately
  • Perform quality checks on stored inventory and discarding inventory that does not meet the company's standards
  • Update inventory count and maintain inventory records to share with management and other stakeholders in the business
  • Report discrepancies in inventory that indicate theft, such as too little inventory at last count
  • Provide order status updates to technicians and customers
  • Notify technicians of parts received status

Contribute to campus Events and Activities coordination to include:

  • Assist with planning and executing logistical arrangements and provide status updates with appropriate parties
  • Ensure coordination of activities and support for all operations of facility services
  • Participate with the set-up, operation, and teardown of the event venue
  • Monitor event activities to ensure all requirements are met, client is satisfied, and clean-up/re-set is managed accordingly

Support Facility Services work order processing to include:

  • Answer incoming call into the Facilities Service Center
  • Provide callers accurate information
  • Approve and assign service requests accordingly
  • Submit service requests into the Maximo application to create work orders
  • Provide work order status updates to technicians and customers
  • Notify technicians of service requests identified as 'urgent'

Provide excellent customer service as part of the Facility Service Center

WHAT YOU'LL BRING TO ALCON:

  • High School Diploma or equivalent
  • The ability to fluently read, write, understand and communicate in English
  • 4 Years of Relevant Experience
  • Work hours: Monday - Friday; 8:00am - 5:00pm CST
  • Travel Requirements: 0 to 10%
