Job Description Summary:The Earth Observing Laboratory (EOL) at NCAR is seeking a highly motivated and skilled Administrative Assistant III to provide critical support to the EOL Director and their office. This position requires a minimum of 3 days per week of regular on-site presence at the EOL Foothills Lab campus and as needed for particular functions and events.

What You Will Do

Here is a brief summary of what one would expect to be generally responsible for in this role.

Key Responsibilities:

Administrative support to the Director and Directorate Staff

  • Drafts, edits, reviews, proofreads and finalizes correspondence for the Director and Directorate staff, including confidential items.

  • Coordinates, negotiates, maintains, and manages the Director's electronic calendar. Coordinates and arranges meetings for other Directorate staff.

  • Make complex domestic and international travel arrangements for the Director and Directorate staff as required.

  • Assists the Director and Directorate staff with creating dynamic and informative presentations.

  • Serves as liaison with management in NCAR, UCAR, NSF, and other outside partners.

  • Helps develop and manage Directorate office procedures.

  • Responsible for coordinating physical space issues for Directorate staff.

  • Organizes and manages documentation and recordkeeping (electronic and paper).

  • Posts and updates Directorate content for the web.

  • Develops and writes office office-wide communications.

Broader Administrative Support

  • Plans high-level meetings, workshops, and seminars, including travel, agendas, presentations, registration, refreshments, budget estimates, and monitoring expenditures.

  • Prepares and coordinates agendas for other meetings, takes notes, and distributes materials as the Director and Directorate staff require.

  • Coordinates scientific promotions and other personnel items as directed.

Education and Experience REQUIRED:

  • High school diploma or equivalent and a minimum of four years relevant experience;

  • or a combination of education and experience.

Education and Experience Desired but not Required:

  • Bachelor's Degree

Knowledge, Skills, and Abilities (Required):

  • Excellent oral and written communication, advanced proofreading/editing, and discretion in handling confidential information.

  • Demonstrated excellence in organization, time management, multitasking, and prioritization.

  • Advanced skills in common productivity applications (spreadsheets, presentations, documents), electronic calendars, and navigating networked environments.

  • Experience planning and coordinating high-level meetings and domestic and international travel.

  • Ability to anticipate needs, respond to problems, and adapt to changing requirements.

  • Excellent interpersonal and customer service skills, with the ability to work independently and collaboratively.

  • Experience working in a diverse and multicultural team setting and with senior management.

Knowledge, Skills, and Abilities Desired but not required:

  • Experience in a scientific, technical, government or academic working environment.

  • Experience with Mac OS.

  • Proficiency in a foreign language.
