Organizational Unit Overview
The Division of Student Affairs comprises over 30 departments, each responsible for providing various student support, services, and educational programs accessible to the university community. Job Duties
The Scholarship and Stewardship Coordinator within Student Affairs is crucial in awarding student scholarship programs and donor stewardship efforts. The coordinator will oversee various tasks related to scholarship and donor stewardship, providing oversight and ensuring the effective management of Student Affairs Scholarships. This position will coordinate with each department in Student Affairs to review, update, and award scholarships and work collaboratively to develop new opportunities to broaden the divisional scholarship portfolio. This position will lead and support donor relations efforts, including stewardship plan development and event planning to cultivate donors, support friend-raising and fundraising, and provide recognition to donors and scholarship recipients. This position will represent university at various functions on and off campus and collaborate with other offices within the Division of Student Affairs and University Advancement. This position will report to the Director of Development for Student Affairs.

Scholarship Program Coordination: 50%

  • Responsible for all scholarships in coordination with the Director of Student Affairs Development, Student Affairs Business Office, and University Scholarships Office.
  • Optimize scholarship disbursement processes and address discrepancies in consultation with University Advancement.
  • Provide oversight of the Student Affairs Scholarship process to align with the Office of University Scholarships. This includes reviewing funding, ensuring scholarship qualifications, oversight of review committees, gathering selections, and student and donor recognition programs.
  • Provide guidance to various departments throughout the Division of Students to organize selection committees. Coordinate Division of Student Affairs educational programs to educate staff members on their role in helping with the scholarship process.
  • Collaborate with University Advancement to ensure fund agreements are current and allow the Division of Student Affairs to allocate funds to support student needs.
  • Engage in regular reviews of scholarship criteria in ECUAWard to ensure qualifications remain accurate and consistent with donor intent.
  • Evaluate program effectiveness and ensure alignment of scholarship recipient activities, including appropriate communication in consultation with donors.


Donor Relations & Events: 30%

  • Organize all areas of donor relations, including planning and organizing mail, email, and phone solicitations, and oversee the stewardship plan to recognize and thank donors.
  • Develop comprehensive donor profiles for scholarships and review fund agreements for alignment.
  • Assist in the engagement strategy for the Student Affairs Advisory Council and its members.
  • Develop a stewardship plan for the Division of Student Affairs. This includes but is not limited to Accepting donations, acknowledging and thanking donors for their gifts, coordinating recognition gifts, and communicating the impact of gifts and how they support students.
  • Organize all areas of donor relations, including planning and organizing mail, email, and phone solicitations, and oversee the stewardship plan to recognize and thank donors.
  • Develop comprehensive donor profiles for scholarships and review fund agreements for alignment.
  • Provide regular scholarship updates to the Student Affairs Executive Council and Student Affairs Leadership Team.

Technology Support and Public Relations: 20%

  • This position will manage the use of technology and social media for the Student Affairs Development Office.
  • The nature of this position requires extensive communication with both on-campus and off-campus constituents. This includes communicating directly with donors, staff, faculty, students, and the public.
  • This position must establish and maintain effective working relationships with all constituents, including colleagues within the office, and aid when needed
  • This position requires someone who can conduct research, work within University CRM software to track donor engagement and manage event budgets.
  • Represent the Director of Development or Division of Student Affairs at various events on and off-campus and serve on committees as requested.
    Other duties as assigned.

Minimum Education/Experience
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education
Experience working with donor relations.
Marketing or public relations experience.
Experience working with university/non-profit donors.
